An Office Administrator plays a crucial role in ensuring the smooth and efficient operation of an office. They undertake a wide range of clerical and administrative tasks, serve as a key point of contact for visitors and staff, and support management and other departments to keep daily workflows running seamlessly.
Administrative Operations
Oversee daily office operations to maintain efficiency and organization.
Manage office supplies -- order, track inventory to avoid shortages.
Supervise office maintenance and coordinate with vendors for repairs or cleaning.
Open and close office for business hours.
Communication & Correspondence
Answer phone calls, emails, and direct inquiries to the appropriate personnel or department.
Welcome and direct visitors, clients, and customers.
Handle incoming and outgoing mail and packages.
Draft, proofread, and send correspondence and office communications.
Scheduling and Coordination
Manage calendars, meetings, appointments, and travel arrangements for management or teams.
Organize internal meetings, training sessions, and office events -- both in-person and virtual.
Coordinate team communication across departments and with external partners.
Essential Skills
Excellent organizational and time management skills.
Strong verbal and written communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management software.
Ability to multitask and prioritize duties effectively.
Familiarity with basic accounting and recordkeeping.
Customer service skills and professionalism.
Preferred Qualifications
Bachelor's degree or associate degree in office administration, business administration, or related field (preferred).
Experience in office administration or related roles (often 3+ year preferred).
Knowledge of project management or HR software is a plus.
