Position Overview



We are seeking a reliable and proactive

Administration Executive

to manage day-to-day administrative and office operations at our Mumbai office. This role is critical to ensuring smooth office functioning, supporting employees, and coordinating with internal teams and external vendors in a fast-paced startup environment.

What You'll Be Doing



Ensure smooth day-to-day functioning of the Mumbai office.

Maintain a clean, organised, and well-managed office environment.

Coordinate with vendors for office services such as housekeeping, pest control, security, repairs, etc.

Track AMCs and warranties for office equipment and assets (ACs, fire extinguishers, biometric devices, electronics, etc.).

Coordinate domestic and international travel bookings for employees and leadership as required.

Process and track expense submissions accurately and within defined timelines.

Organise and coordinate internal meetings, office events, and employee engagement activities.

Manage logistics to ensure seamless execution of events and meetings.

Maintain systematic records of inward and outward documents and materials.

Track deliveries, couriers, and follow-ups.

Maintain inventory of office supplies and ensure timely replenishment.

Assist the HR team with onboarding logistics.

Support new joiners with access, facilities, and office assets.

Manage the biometric system, including employee registrations and updates.

Manage the company's online E-commerce account, including order tracking, shipment coordination, and issue resolution.

Provide administrative support for ad-hoc requests and special projects across teams.

What You Bring to the Table



Strong organisational and coordination skills.

Experience in travel coordination and expense processing

Proficiency in Outlook and basic office tools

Someone who can independently manage office operations.

Proactive problem-solver with a service-oriented attitude.

Comfortable working in a growing startup with evolving needs.

Ability to multitask, prioritise, and meet tight deadlines.

Hands-on, ownership-driven mindset suitable for a startup environment.

Prior experience in office administration or operations roles is required.
