The Office Manager is responsible for overseeing the daily administrative and operational functions of the office to ensure a smooth, efficient, and productive work environment. This role supports overall organizational effectiveness through coordination of staff, management of office resources, implementation of procedures, and serving as a point of contact for internal and external stakeholders.
Key Responsibilities
Administrative & Operational Duties
Oversee and coordinate general office operations and procedures.
Schedule and manage meetings, appointments, and internal events.
Maintain and organize office supplies, equipment, inventory, and filing systems.
Manage correspondence, including emails, phone calls, mail, and visitor reception.
Ensure office equipment is serviced and functioning properly, coordinate maintenance and repairs.
Staff Supervision & Support
Supervise administrative staff; assign tasks and monitor performance.
Assist with onboarding, orientation, and training for new hires.
Act as a resource for employees, handling queries related to office services and procedures.
Budgeting & Vendor Management
Monitor office expenses, budget tracking, and school invoices; recommend cost-effective solutions.
Manage relationships with vendors, service providers and negotiate office contracts.
Policies & Compliance
Develop, update, and implement office policies and standard operating procedures (SOPs).
Ensure office safety, compliance with internal policies, and a tidy work environment.
Required Skills & Qualifications
Bachelor's degree in business administration, Management, or a related field (preferred).
Proven experience in office administration or office management.
Strong organizational, time management, and multitasking skills.
Excellent written and verbal communication skills.
Proficiency in office software (MS Office, Google Workspace, etc.).
Ability to lead, supervise staff, and work independently.
Attention to detail and problem-solving mindset.
Preferred Qualifications
Experience with budgeting and basic financial tracking.
Previous supervisory experience in an administrative environment.
Knowledge of HR support functions such as onboarding, recordkeeping, and performance coordination.
