We are seeking a highly organized, detail-oriented, and proactive
Office Administrator & Accounts Assistant
to manage the daily administrative operations and provide critical support to the finance and accounting functions of our office. The ideal candidate will be adept at multitasking, proficient in accounting software, and committed to maintaining a smooth, efficient, and compliant work environment.
Key Responsibilities
1. Financial & Accounting Support
Invoicing:
Generate, process, and dispatch accurate sales invoices, ensuring timely delivery to clients.
E-Way Bills:
Generate and manage e-way bills for the movement of goods in compliance with GST regulations.
Accounting Software Operations:
Accurately enter and process daily financial transactions (e.g., sales, purchases, payments) into the designated accounting software (FlexiERP- will be taught).
Banking & Reconciliations:
Handle banking-related tasks, including preparing bank deposits, managing petty cash, and assisting with bank reconciliations.
GST Compliance Support:
Assist the finance team by compiling and checking data for Goods and Services Tax (GST) returns (GSTR-1, GSTR-3B, etc.).
Expense Management:
Track, record, and process office and employee expenses.
2. Office Administration & Management
Documentation & Filing:
Maintain an organized and efficient physical and digital filing system for all official, financial, and regulatory documents.
Inventory & Supplies:
Monitor and manage office supply inventory, placing and tracking orders to ensure the office is well-stocked.
Vendor Management:
Coordinate with vendors, suppliers, and service providers for office-related services (e.g., utilities, maintenance, stationery).
Correspondence:
Handle incoming and outgoing official mail, emails, and phone calls, directing inquiries to the appropriate personnel.
Office Upkeep:
Ensure the general tidiness, functionality, and professional presentation of the office area.
3. General Support & Communication
Provide general administrative and clerical support to the management team.
Assist in scheduling meetings, managing calendars, and making travel arrangements as needed.
Maintain and update employee records and other confidential data.
Requirements & Qualifications
Education:
A Bachelor's degree (B.Com preferred) or relevant qualification in Administration or Finance.
Technical Skills:
Strong working knowledge of MS Office Suite (Word,
Excel
).
Regulatory Knowledge:
Basic understanding of GST procedures, including invoicing and e-way bill generation.
Personal Attributes:
Excellent written and verbal communication skills, meticulous attention to detail, high level of integrity and confidentiality, and a proactive attitude.
