:
The Admin Executive is responsible for a variety of office tasks, including managing office supplies, assisting with administrative tasks, and ensuring a welcoming environment for guests. This role requires someone with excellent organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The Admin Executive will support office operations through duties like printing, handling guest services, maintaining stationery inventory, and more.
Key Responsibilities
:
Xerox & Printing
: Handle all photocopying, printing, and document preparation tasks as required by different departments.
Stamping & Documentation
: Ensure documents are properly stamped and organized. Manage outgoing and incoming documents and materials.
Guest Reception & Hospitality
: Greet guests and visitors, offering tea, coffee, and refreshments. Provide excellent guest services to ensure a positive experience.
Stationery Management
: Oversee the procurement and distribution of office stationery. Maintain accurate records of stationery inventory and manage reordering when necessary.
Office Supplies Management
: Track office supplies, maintain proper stock levels, and ensure smooth availability of required materials.
General Office Assistance
: Assist with general office administrative tasks, including filing, organizing, and ensuring the office is clean and functional.
Outsourced Work Coordination
: Coordinate with external vendors for services like stationery purchases, office repairs, and other outsourced tasks as needed.
Skills and Qualifications
:
Proven experience in an administrative role, preferably in a similar environment.
Strong organizational and multitasking abilities.
Excellent communication skills and a professional demeanor.
Ability to maintain confidentiality and handle sensitive materials.
Proficiency in using office equipment (photocopiers, printers, etc.).
Ability to work effectively in a fast-paced environment.
Basic knowledge of Microsoft Office tools is an advantage.
Attention to detail and problem-solving skills.
Education and Experience
:
High school diploma or equivalent (minimum).
Previous experience in administrative roles is preferred.
Physical Demands
:
Ability to lift and carry light office supplies when needed.
