Prior experience in
office administration
(preferably in architecture/interior/design firms)
Handle accounts & book keeping, including processing invoices, managing petty cash, and reconciling bank statements.
Manage client follow-ups & communication, scheduling appointments, handling correspondence, and maintaining client databases.
Oversee office management & daily operations, ensuring the office environment is productive, organized, and running efficiently.
Maintain inventory & vendor coordination, including ordering and stocking office supplies, managing sample libraries, and negotiating terms with service providers.
Support project and site teams with documentation, which involves formatting reports, preparing presentations, and maintaining a centralized filing system (physical and digital).
Coordinate internal meetings, manage the company calendar, and arrange travel logistics for senior staff or site visits.
Assist in human resources tasks, such as onboarding new employees, maintaining personnel files, and coordinating staff training sessions.
Handle incoming and outgoing mail, manage courier services, and screen phone calls.
Manage social media accounts, create basic content (photos/updates), and monitor engagement across platforms.
