Job Summary:



We are looking for a proactive and well-organized

Office Administrator

to manage the day-to-day administrative operations of our architectural office. The ideal candidate should have excellent communication skills in

English and Malayalam

, be client-friendly, and capable of handling office coordination, accounts monitoring, and scheduling activities efficiently.

Key Responsibilities:



1. Office Administration & Coordination



Manage daily office operations and ensure smooth workflow. Handle phone calls, emails, and client inquiries professionally. Coordinate between clients, design team, and management. Maintain office records, filing systems, and documentation.

2. Client Interaction



Greet and assist clients and visitors at the office. Schedule client meetings and prepare necessary documents for discussions. Follow up with clients for approvals, payments, and project updates.

3. Accounts & Financial Support



Monitor office accounts, petty cash, and expenses. Coordinate with accountant and management for monthly reports and billing. Assist in tracking project budgets, invoices, and vendor payments.

4. Scheduling & Meetings



Arrange meetings, appointments, and internal reviews. Maintain the office calendar and meeting schedules. Record meeting minutes and circulate action points.

5. Office Operations & Support



Supervise housekeeping, stationery, and office maintenance. Coordinate travel, courier, and other logistics. Support HR activities like attendance, leave records, and recruitment coordination.

Skills & Requirements:



Excellent communication skills in

English and Malayalam

(spoken and written). Pleasant personality and strong interpersonal skills. Proficiency in

MS Office (Word, Excel, PowerPoint)

and basic accounting tools. Ability to multitask, prioritize, and handle deadlines. Strong organizational and coordination abilities.

Qualifications:



Bachelor's degree in Business Administration / Commerce / any relevant field. Prior experience in an

architecture, interior design, or construction firm

preferred.

Reporting To:



Principal Architect / Office Manager

Compensation:



As per experience and skill level.

Job Type: Full-time

Pay: ?12,000.00 - ?16,000.00 per month

Work Location: In person
