Job Description

An Admin Executive, also known as an Administration Executive, provides high-level administrative support to an organization, managing daily operations and ensuring efficient workflows. They handle a wide range of tasks, including managing schedules, coordinating meetings, preparing documents, and overseeing office supplies, often acting as a liaison between departments and executives. Key Responsibilities:

Office Management:

Overseeing daily office operations, maintaining supplies, and ensuring a smooth and functional workspace.

Communication:

Managing internal and external correspondence, including emails, phone calls, and other forms of communication.

Meeting Coordination:

Scheduling meetings, preparing agendas, managing logistics, and taking minutes.

Record Keeping:

Maintaining organized records, files, and databases, both in paper and digital formats.

Travel Arrangements:

Booking travel, accommodation, and creating itineraries for executives and employees.

Document Preparation:

Creating and editing reports, presentations, and other documents.

Support to Management:

Providing support to executives and other managers in various administrative tasks.

Financial Responsibilities:

May include managing petty cash, tracking expenses, and assisting with budgeting.

Compliance:

Ensuring adherence to company policies and procedures.

Event Planning:

Coordinating and managing office events and social gatherings.

Information Management:

Gathering, storing, and distributing information within the organization.

Vendor Management:

Handling relationships with office suppliers and service providers.
Required Skills:

Organizational Skills:

Ability to manage multiple tasks, prioritize effectively, and maintain a high level of organization.

Communication Skills:

Excellent written and verbal communication skills, with the ability to interact professionally with all levels of staff and external contacts.

Technical Skills:

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

Ability to identify and resolve issues, troubleshoot problems, and find solutions.
