The Office Admin Executive is responsible for ensuring smooth day-to-day office operations, vendor management, administrative budgeting, and coordination of end-to-end HR processes. This role requires excellent organizational skills, proactive coordination, and the ability to manage multiple responsibilities effectively.
Key Responsibilities:
Administration & Operations
Oversee day-to-day office operations, housekeeping, and office maintenance.
Manage front desk, visitors, and client visit arrangements.
Handle courier services, logistics, and dispatch.
Manage office assets and inventory (stationery, IT peripherals, pantry supplies, etc.).
Coordinate with system admin/IT team for admin-related technical work.
Manage admin team and ensure timely execution of tasks.
Maintain petty cash and prepare expense reports.
Manage admin budgets, vendor payments, and purchase orders in coordination with Accounts.
Administration grievance handling.
Respond quickly to administrative emergencies and provide timely solutions.
Vendor & Event Management
Identify and manage vendors for office supplies, maintenance, AMC, and services.
Negotiate rates, track performance, and ensure timely deliveries.
Plan and manage office events, celebrations, meetings, and hospitality arrangements.
HR Coordination
Support HR in onboarding, offboarding, and employee documentation.
Maintain employee records, ID cards, access cards, and asset allocation details.
Assist in employee life-cycle activities and HR operational tasks.

Qualification:
Bachelor's degree in Business Administration, HR, Commerce, or a related field.
1-3 years of experience in office administration and HR operations.
