Manage day-to-day office activities and maintain a clean, organized workspace.
Handle phone calls, emails, and correspondence professionally.
Maintain office supplies inventory and coordinate with vendors.
Assist in scheduling meetings, appointments, and travel arrangements.
Prepare and maintain documents, records, and filing systems (digital & physical).
Data Management & Reporting
Handle large datasets and prepare detailed reports using
Advanced Excel
.
Create and maintain spreadsheets, dashboards, and trackers.
Use advanced Excel functions (VLOOKUP, INDEX-MATCH, Pivot Tables, SUMIFS, COUNTIFS, Conditional Formatting, Data Validation, etc.).
Analyze data and provide insights for decision-making.
Assist in preparing presentations and business reports.
Coordination & Support Tasks
Coordinate between departments to ensure smooth workflow.
Support HR, Finance, and other teams with documentation and data entry.
Prepare invoices, purchase orders, and basic financial records (if required).
Handle confidential information with professionalism and integrity.
Required Skills & Qualifications:
Proven experience as an Office Assistant, Administrative Assistant, or similar role.
Strong proficiency in MS Excel (Advanced level)
.
Knowledge of MS Office Suite (Word, PowerPoint, Outlook).
Strong communication and interpersonal skills.
Excellent organizational and time-management abilities.
Ability to multitask and work independently with minimal supervision.
Accuracy, attention to detail, and problem-solving skills.
Preferred Qualifications:
Diploma/Bachelor's degree in Business Administration or related field.
Experience in data reporting, MIS, or office coordination roles.
Familiarity with ERP or office management software.
