We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for managing office operations, providing exceptional customer service, and supporting administrative tasks. This role requires proficiency in various office management software and strong communication skills, as you will be the first point of contact for clients and visitors.

Responsibilities



Manage front desk operations, including greeting visitors and handling inquiries. Operate multi-line phone systems to efficiently manage incoming calls. Perform data entry and maintain accurate filing systems for documents. Utilize QuickBooks for bookkeeping and financial record management. Assist with calendar management, scheduling appointments, and coordinating meetings. Provide customer support through effective communication and problem-solving skills. Maintain office supplies inventory and place orders as necessary. Proofread documents to ensure accuracy and professionalism in all communications. Support clerical tasks such as typing, organizing files, and managing correspondence. Collaborate with team members to improve office processes and enhance productivity.

Qualifications



Proven experience in an office administration role or similar position. Strong computer skills, including proficiency in Microsoft Office Suite and Google Workspace. Familiarity with bookkeeping practices and accounting software like QuickBooks is preferred. Excellent organizational skills with the ability to manage multiple tasks effectively. Bilingual candidates are encouraged to apply for enhanced customer interaction capabilities. Previous experience as a dental receptionist or medical receptionist is a plus. Exceptional phone etiquette and customer service skills are essential. Ability to work independently as well as part of a team in a fast-paced environment.
