To oversee and manage all administrative operations of the organization including office facilities, housekeeping, maintenance, inventory, and vendor coordination across all offices and factory locations, ensuring smooth functioning and compliance with company standards.
Key Responsibilities:1. Coordination with Office Colleagues and Management
Understand department structures and their respective teams.
Manage reporting processes, documentation, and obtain necessary management approvals.
Maintain effective communication with all departments for smooth administrative functioning.
2. Office and Factory Infrastructure Management
Supervise office premises located on 1st, 3rd, 4th & 5th Floors.
Oversee factory units at
Raheja, Tardeo, Cotton Green, Ozone, School, and Bhiwandi.
Coordinate with the
Store and Purchase department at Raheja
for stock and supplies.
Ensure workplace infrastructure, furniture, and equipment are well maintained.
3. Housekeeping and Facility Management
Plan and assign shifts for housekeeping and facility staff across all locations.
Periodically check and review housekeeping worksheets.
Conduct interviews and oversee appointment of facility attendants.
Define and communicate job roles and responsibilities of attendants.
Monitor registers and daily activity reports maintained by facility staff.
Ensure
timely clearance of invoices
for facility/housekeeping agencies.
4. Inventory Management, Approvals & Records
Maintain records and ensure approvals for:
Office computers and peripherals
Stationery and office supplies
Furniture and fixtures
Housekeeping materials and consumables
Factory uniforms and essentials
Track consumption, reorder levels, and maintain cost efficiency in inventory management.
5. AMC & Maintenance Review
Review and update list of equipment/areas requiring maintenance submitted by Admin Executives.
Ensure
Annual Maintenance Contracts (AMCs)
are in place for all key equipment and facilities.
Schedule and supervise periodic maintenance checks.
Source vendors and delegate office/factory repair work efficiently.
Maintain maintenance logs and ensure timely completion of repair activities.
6. Team Supervision & Training
Provide training and guidance to the Admin and Facility teams for improved productivity.
Review performance, assign responsibilities, and ensure compliance with company standards.
Support the management in implementing process improvements and best practices.
Required Skills & Competencies:
Strong leadership and coordination skills.
Excellent vendor management and negotiation ability.
Good understanding of housekeeping, maintenance, and facility operations.
Proficient in MS Office and administrative documentation.
Detail-oriented with strong follow-up and organizational skills.
Qualification & Experience:
Graduate in any discipline (preferably with specialization in Administration/Management).
5-10 years of experience in Administration / Facility Management in a manufacturing or corporate setup.
