The Office Administration Executive is responsible for managing day-to-day administrative operations, ensuring the smooth functioning of the office, and supporting various departments in administrative, logistical, and clerical tasks. The role requires excellent organizational, communication, and multitasking abilities to maintain an efficient and professional office environment.
Key Responsibilities:
Office Management & Coordination
Oversee daily office operations and maintain an organized, clean, and efficient workspace.
Manage office supplies inventory, equipment maintenance, and vendor coordination.
Ensure timely procurement of office stationery, consumables, and other materials.
Coordinate office maintenance, housekeeping, and facility management activities.
Administrative Support
Provide administrative support to management and staff as needed.
Handle incoming and outgoing correspondence, emails, and phone calls professionally.
Prepare reports, letters, and other business documents.
Maintain records, files, and databases systematically and securely.
Human Resources Assistance
Support HR activities such as attendance tracking, leave management, and onboarding.
Maintain employee records and assist in HR documentation and compliance.
Coordinate staff welfare activities, meetings, and training sessions.
Travel & Logistics Coordination
Arrange travel, accommodation, and transport for staff and visitors.
Manage bookings for conferences, meetings, and company events.
Vendor & Facility Management
Liaise with vendors, service providers, and contractors for office-related services.
Monitor service quality, negotiate rates, and ensure timely payments.
Compliance & Recordkeeping
Ensure compliance with company policies and administrative procedures.
Maintain proper documentation for audits and legal requirements.
Meeting & Event Coordination
Organize internal and external meetings, prepare minutes, and follow up on actions.
Coordinate office celebrations, team events, and employee engagement programs.
Other Responsibilities
Assist in budget preparation and expense monitoring for the administration department.
Support the management in implementing new office systems and processes.
Handle confidential information with integrity and professionalism.
Qualifications & Skills:
Any Bachelor's degree
0-1 years of experience in office administration or executive assistant roles.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Attention to detail and ability to handle confidential information.
Ability to work independently and collaboratively within a team.
