WHAT YOU WILL EXPERIENCE IN THIS POSITION:
In this position, you will get to:
\xe2\x9e\xa2 Office Management:
o To ensure all administrative requirements in Bangalore office are met.
o To keep track of housekeeping activities on daily basis.
o To coordinate with procurement department on office administration requirement.
o To ensure administrative support in onboarding process by keeping all the required things ready prior one day before employee joining.
o To Prepare Purchase Request.
o To provide data for vendor registration.
o To ensure employee transportation and On call cab reach factory on time without any delay. Keep track on daily KM.
o To ensure all bills received on time from vendor and submit error free bills to finance for payment.
o To handle Hotel Contracts / Agreement and hotel booking.
To monitor the pantry requirements and House Keeping material stock requirement.
o To provide administration budget to Finance department on monthly basis.
\xe2\x9e\xa2 Contracts Manpower Management:
o To keep record of all Contracts attendance and Headcount within the budgeted number.
o Ensure on time renewal of agreements.
o To ensure vendor pays all the statutory payments like PF ,ESIC on time.
\xe2\x9e\xa2 Vendor Management:
o To identify cost reduction sources.
o To maintain the vendor records as per vendor tracker format on regular basis.
o Conduct Regular vendor audits and ensure to close open points within due date.
o To track vendor bills on daily basis and ensure timely payments based on appropriate approvals.
\xe2\x9e\xa2 Attendance & Leave Management
o Daily track of employee attendance, shift in Matrix software and ESS Portal.
o Track leave database, eligibility, availed and closing balances of leave without error.
o Monitor and track Direct Labor \xe2\x80\x93 On roll & Contract employees Overtime and ensure as per local law they should not cross monthly OT limit .
o Educate employees on leave policy and ensure they adhere.
\xe2\x9e\xa2 Payroll Process
o Provide payroll inputs such as attendance summary, leave summary, OT, other deductions on monthly basis to HRPB for payroll input, employee wise in specified format for processing payroll within specified date.
\xe2\x9e\xa2 Probation Performance & Contract Role Review
o Track probation review on time and send the review form to his/her Manager for the review and ensure outcome of the review communicated to the employee on time through letters.
o Ensure Contract role employees contract reviewed and renewed on time.
\xe2\x9e\xa2 Employee Engagement
o Ensure to conduct employee monthly committee meetings and all open points closes within the due date.
o Ensure People connect activities conducted as per schedule and support for administration requirements.
