The Office Admin Executive will be responsible for ensuring the smooth and efficient day-to-day operation of our office. This role involves a wide range of administrative and clerical tasks, providing essential support to the team and maintaining a productive and welcoming office environment. The ideal candidate will be highly organized, detail-oriented, proactive, and possess excellent communication and interpersonal skills.
Key Responsibilities:
Office Management:
Oversee the general upkeep and organization of the office space, ensuring a clean, tidy, and functional environment.
Front Desk Operations:
Manage the reception area, greet visitors, answer and direct phone calls, and handle incoming and outgoing mail and deliveries.
Administrative Support:
Provide comprehensive administrative and clerical support to the team, including scheduling meetings, managing calendars, preparing correspondence, and organizing documents.
Supply Management:
Monitor and maintain office supplies, placing orders when necessary and ensuring adequate stock levels.
Equipment Maintenance:
Coordinate with vendors for the maintenance and repair of office equipment (e.g., printers, copiers).
Meeting Coordination:
Schedule and coordinate meetings, including booking meeting rooms, preparing agendas, and taking minutes as required.
Travel Arrangements:
Assist with travel arrangements for employees, including booking flights, accommodations, and transportation.
Data Entry and Record Keeping:
Maintain accurate and organized electronic and physical records and files.
Invoice Processing and Expense Tracking:
Assist with processing invoices, tracking expenses, and preparing expense reports.
Liaison with Vendors and Service Providers:
Communicate with external vendors and service providers for various office-related needs.
Facility Management Support:
Assist with basic facility management tasks, such as coordinating with building management for maintenance or repairs.
Event Coordination:
Assist with the planning and execution of office events and meetings.
Maintaining Confidentiality:
Handle sensitive information with discretion and maintain confidentiality.
Ad-hoc Administrative Tasks:
Perform other administrative and clerical duties as assigned to support the team and ensure efficient office operations.
Qualifications and Experience:
1+ years of experience in an office administration role.
Proven ability to manage a wide range of administrative and clerical tasks.
Excellent organizational and time management skills, with a strong attention to detail.
Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills.
Strong interpersonal skills and a professional demeanor.
Ability to work independently and as part of a team.
Proactive and resourceful with a problem-solving attitude.
Ability to prioritize tasks and manage multiple deadlines.
High school diploma or equivalent required; associate's or bachelor's degree preferred.
