1. Buyer Communication & Relationship Management
Act as the primary point of contact for international buyers.
Ensure timely, accurate communication of product details, pricing, approvals, and timelines.
Manage buyer expectations while safeguarding factory feasibility and margins.
2. Product Development & Sampling
Coordinate sampling as per buyer briefs, tech packs, and reference samples.
Ensure samples meet design, quality, cost, and compliance requirements.
Track and close all sample approvals within agreed timelines.
3. Costing & Price Negotiation
Prepare accurate product costing considering materials, labor, overheads, and margins.
Support price negotiations with buyers while ensuring profitability.
Control cost escalations and highlight risks proactively.
4. Order Execution & Production Coordination
Translate confirmed orders into clear production instructions.
Coordinate with production, sourcing, and planning teams to meet delivery schedules.
Monitor production progress and resolve bottlenecks promptly.
5. Raw Material & Vendor Coordination
Coordinate sourcing of raw materials and trims as per buyer specifications.
Ensure timely availability of materials to avoid production delays.
Align vendors with quality, cost, and compliance requirements.
6. Quality Control & Compliance
Ensure products meet buyer quality standards and AQL requirements.
Coordinate internal and third-party inspections.
Ensure compliance with buyer, country-specific, and sustainability norms.
7. Order Tracking & Documentation
Maintain accurate order records, T&A plans, and status reports.
Ensure correctness of export documentation in coordination with logistics teams.
Support smooth handover for final shipment and dispatch.
8. Timeline & Delivery Management
Ensure on-time delivery of samples and bulk orders.
Anticipate risks and communicate delays proactively with corrective action plans.
Maintain OTIF (On-Time, In-Full) performance.
9. Margin & Commercial Control
Track order-wise margins and highlight deviations.
Ensure commercial terms are followed as per buyer agreements.
Support management with order profitability insights.
10. Internal Coordination & Process Improvement
Work closely with design, QA, production, and logistics teams.
Contribute to process improvements to enhance efficiency and reduce errors.
Support continuous improvement initiatives within the merchandising function.
