Hospital Front Desk Executive / Medical Receptionist / Front Office Coordinator

1. Job Overview:



A hospital front desk receptionist is the first point of contact for patients and visitors. They manage administrative duties, handle patient queries, schedule appointments, and ensure smooth operations at the front desk. Their role is crucial in creating a professional and welcoming environment.

2. Key Responsibilities:Patient Interaction:



Greet and assist patients, visitors, and vendors courteously. Register patients and collect personal, medical, and insurance information. Guide patients regarding appointment times, departments, and directions.

Appointment Management:



Schedule, reschedule, and cancel patient appointments. Maintain appointment calendars for doctors and consultants. Inform patients of any delays or rescheduling.

Administrative Tasks:



Answer incoming calls and direct them to the appropriate department. Maintain patient records and update information accurately in the hospital's system. Handle incoming and outgoing mail and emails. Assist in billing and payment processing (if required).

Coordination:



Coordinate with nursing staff, doctors, and other departments. Ensure all patients are informed about next steps (e.g., lab tests, payments, follow-ups).

3. Required Skills:



Communication Skills:

Excellent verbal and written communication.

Customer Service:

Polite, patient-focused attitude.

Multitasking:

Ability to manage several administrative tasks simultaneously.

Organization:

Attention to detail in record-keeping and scheduling.

Technical Skills:

Basic computer literacy (MS Office, hospital software, etc.).

Confidentiality:

Maintain privacy of patient records and sensitive information.

4. Qualifications:



Education:

High school diploma or equivalent. A degree or diploma in hospital administration is preferred.

Experience:

0-3 years of experience in a similar role. Freshers with strong communication skills may be considered.

Certifications (optional):

Training in medical terminology or customer service can be an advantage.

5. Working Conditions:



Location:

Hospital front desk / reception area.

Hours:

Typically 8-10-hour shifts; may include weekends and holidays.
