We are looking for a detail-oriented, friendly, and professional Virtual Receptionist to join our team and support our office remotely.

Position Overview:


The Virtual Receptionist will be the first point of contact for patients calling or visiting our medical office. You will play a crucial role in delivering a positive patient experience by efficiently managing appointments, patient inquiries, and administrative tasks in a professional, friendly, and timely manner.

Key Responsibilities:



Answering Calls & Managing Inquiries:


Answer incoming phone calls promptly and courteously. Address patient questions regarding office hours, services, and medical procedures. Route calls to appropriate staff when necessary.

Appointment Scheduling & Management:


Schedule patient appointments, follow-ups, and cancellations using our office's scheduling software. Confirm appointments and send reminders to patients.

Patient Registration & Information Management:


Collect and verify patient information (demographics, insurance, medical history) and enter data accurately into the Electronic Health Record (EHR) system. Ensure all documents are completed prior to patient visits.

Medical Records Assistance:


Assist patients with obtaining medical records or lab results by coordinating with relevant medical staff.

Administrative Support:


Provide general administrative support such as scanning, filing, and faxing documents. Maintain an organized and efficient system for patient communication and appointment records.

Confidentiality & HIPAA Compliance:


Handle sensitive patient information in compliance with HIPAA regulations, ensuring all communication and data are secure.

Communication:


Regularly communicate with office staff, providers, and patients to ensure smooth workflow and service delivery. Address concerns or issues raised by patients and escalate when necessary.

Technology Utilization:


Utilize virtual communication tools (phone, email, video calls, chat platforms) and practice management software to facilitate patient interactions and administrative tasks.

Qualifications:



Experience:


Previous experience in a medical office, healthcare setting, or customer service role is preferred. Experience using Electronic Health Record (EHR) systems is a plus.

Communication Skills:


Excellent verbal and written communication skills. Ability to interact professionally and courteously with patients, healthcare providers, and staff.

Must speak fluent english*

Organizational Skills:


Strong attention to detail with the ability to multitask and manage a high volume of calls and appointments efficiently.

Technical Skills:


Proficient in using virtual communication tools (phone systems, email, video conferencing) and familiar with office software (Microsoft Office, Google Suite, etc.). Ability to quickly learn new software and tools.

Confidentiality:


Knowledge of HIPAA compliance and the ability to maintain patient confidentiality at all times.

Availability:


Flexible hours, but availability to work during standard business hours is preferred.
