ob Description: Marketing Assistant (Tendering & Business Development)Position Summary
The Marketing Assistant will support the Marketing and Business Development team by managing tender-related activities, preparing documentation, coordinating with internal departments, and tracking submission timelines. This role requires hands-on experience with government e-procurement platforms including
GeM
,
Kerala e-Procurement
, and
Central e-Procurement
portals, along with strong communication, coordination, and documentation skills.
Key Responsibilities1. Tender Management
Identify relevant tenders from
GeM Portal, Kerala e-Procurement portal, and Central e-Procurement portal
on a daily/weekly basis.
Review tender documents, eligibility criteria, technical requirements, and submission timelines.
Maintain a tender tracking sheet with status updates, deadlines, and action points.
Prepare and upload required documents such as:
Company registrations and certificates
Financial documents (GST, PAN, balance sheets)
Technical bid documents
Past performance records
Product/service details
2. Tender Submission
Coordinate with internal teams (Technical, Finance, Operations, Management) to gather necessary data.
Ensure accurate and timely
online submission of bids
on:
GeM (Government e-Marketplace)
Kerala e-Procurement Portal
Central Public Procurement Portal (CPPP / e-Procurement)
Prepare BOQs, compliance statements, price bids, and technical submissions as required.
Manage digital signatures (DSC) and ensure portals are updated and functioning.
3. Post-Tender Activities
Follow up on tender results, clarifications, and negotiations.
Maintain records of submitted tenders, evaluations, and outcomes.
Assist in preparing presentations or documentation required for negotiations or technical evaluations.
4. Marketing & Business Development Support
Support in developing marketing materials, presentations, and proposals.
Conduct market research to identify new business opportunities.
Assist in maintaining relationships with government departments, contractors, architects, and procurement officials.
Prepare company profiles, brochures, capability statements, etc.
5. Documentation & Reporting
Maintain an organized filing system for all tender documents.
Generate weekly/monthly tender status reports for management review.
Ensure compliance with ISO documentation procedures (if applicable).
Required Skills & QualificationsTechnical Skills
Hands-on experience with:
GeM Portal
(catalog creation, bid participation, order processing)
Kerala e-Procurement Portal
Central e-Procurement / CPPP Portal
Proficiency in MS Office (Word, Excel, PowerPoint).
Ability to review technical and commercial tender documents.
Good understanding of procurement processes and tender terminology.
Soft Skills
Excellent communication and coordination skills.
Strong attention to detail and documentation accuracy.
Ability to work under strict deadlines.
Analytical and problem-solving abilities.
Willingness to learn tender procedures and government procurement rules.
Educational Requirements
Bachelor's degree (preferably in Business Administration, Marketing, Commerce, or related fields).
Additional certification in tendering, procurement, or e-procurement portals is an added advantage.
Experience
1-3 years of experience in tendering, marketing support, or administrative roles.
Experience in government procurement or contracting will be preferred.
