Administration & facilities
Managing administration and facilities for all mapped branch offices
Conducting branch facility tours & audits to identify repair / maintenance needs and equipments' (AC, Stabilizers, UPS, DG, CCTV, Fire Panel, Aquaguard, time stamping machines etc.) upkeep on proactive basis
Handling emergency situations and planning back-ups for taking preventive/corrective actions
Conducting half yearly branch assessments/drills on company defined health and fire safety standards
Training security guards and facility management services vendor staff on all responsibilities as defined
Ensuring printing, stationery and courier management
Ensuring S&E compliance of all branches
Managing the administration helpline (Samadhan) and ensuring closure of issues within TAT
Infrastructure Management
Identifying new properties, managing lease agreement, getting branch infra-ready through authorized vendors
Managing agreement renewals for existing branches, ensuring refurbishments as required by Company standards and re-utilising of assets from vacated branches
Data analytics
Maintaining accurate records with regards to annual inspection of equipment and general preventative maintenance including rotational work assignments
Analysing branch wise admin expenditure and maintain general inventory of Non-IT assets
Vendor Management
Ensuring coordination and management of Security, FMS, Electrical equipment, Infra and R&M etc. vendors
Identifying new vendors and ensuring efficient negotiations in terms of work deliverables and rate contracting
Laisoning with landlords for monthly rental cheque, issuance of TDS certificate & other issues
Billing and PO Management for all vendors
Competencies
Regional language knowledge is preferred
Strong analytical and innovative problem solving skills
Excellent written and oral communication skills
