Job Summary
We are looking for a highly experienced and detail-oriented Manager/Senior Manager of Export Documentation. This role is critical to ensuring the smooth, compliant, and efficient execution of our international tea shipments.
The ideal candidate will have 10-12 years of deep, hands-on experience in the entire export-import lifecycle. You will be responsible for managing complex documentation (including LCs and High Seas Sales), coordinating logistics, and leveraging your strong relationships with shipping lines and CHAs to ensure seamless operations.
Key Responsibilities
End-to-End Documentation:
Manage the preparation, verification, and timely submission of all export and import documents, including Invoices, Packing Lists, Bills of Lading (BL), and shipping bills.
Letter of Credit (LC) Management:
Expertly scrutinize, prepare, and negotiate documents under Letters of Credit (LC) to ensure 100% compliance with UCP 600 and guarantee timely payment.
Certificate of Origin (COO):
Oversee the generation and application for all types of COOs, including specialized GSP COOs, ensuring they meet the requirements of the destination country.
Complex Shipments:
Independently handle complex trade structures, including High Seas Sales and third-country exports, ensuring all documentation is accurate.
Bank & Finance:
Lead bank bill negotiationsand manage the submission of documents to the bank.
Ensure diligent follow-up and reconciliation of Bank EBRC (Electronic Bank Realization Certificate)*. Logistics & Relationship Management: Manage end-to-end logistics*, including freight booking, container planning, and coordination with transporters. Utilize and maintain excellent working relationships with shipping linesto secure competitive freight rates and timely container availability.
Liaise effectively with Custom House Agents (CHA)for smooth and timely customs clearance.
Compliance:
Ensure all export and import activities are fully compliant with customs regulations, FEMA, and international trade laws.
Multi-Port Operations
: Apply your experience working with multiple ports to navigate different port procedures and requirements efficiently.
Qualifications & Skills
Experience:
10-12 years of mandatory, hands-on experience specifically in export-import documentation and logistics.
Industry:
Experience in Tea, Agri-commodity, or FMCG exports is highly preferred.
Technical Expertise (Must-Have)
:
In-depth, practical knowledge of Letter of Credit (LC)operations.
Proven experience in handling High Seas Sales*.
Expertise in COO and GSP COOgeneration.
Familiarity with Import documentationprocedures.
Strong understanding of banking processes, including EBRC and bill negotiations*.
Relationships & Network (Must-Have):
Must have established, strong relationships with key personnel at major shipping linesand freight forwarders.
Must have a strong rapport and working relationship with CHAsin Kolkata (and preferably other major ports).
Skills:
Exceptional attention to detail and accuracy.
Strong negotiation, communication, and problem-solving skills.
Ability to work independently and lead a small team.
Proactive and capable of working under pressure to meet tight shipment deadlines.
