Oversees the end-to-end annual selection, evaluation, and scholarship disbursement process for students promoted to higher standard, including form circulation, scrutiny, interviews, cost data collection, vendor procurement, testing, and coordinated disbursements to schools and approved vendors. Establish clear selection criteria upfront and run a transparent, auditable process.? Ability to communicate in English & Marathi with School authorities and engage them in the Scholarship Procedures.
Key Responsibilities
Build rapport with School authorities
: periodic effective communication with School authorities and engage them in the Scholarship procedures, from selection of students, disbursement of funds and continued student engagement in Training programs provided by the Foundation.
Student cohort validation
: Obtain and verify the number of students eligible for promotion to from the school, creating the working cohort list for the cycle.?
Application distribution
: Circulate standardized application forms capturing student identity, demographic and family details, photograph, and academic history from 4th-6th standards. Define the submission window of 20 days and list mandatory supporting documents.?
Intake management
: Track receipt of applications, log documents, and perform completeness and eligibility checks against predefined parameters; issue accept/reject status and communicate next steps
Shortlisting and interviews
: Prepare a shortlist, invite selected students with both parents for in-person interviews at the school, and coordinate interview panels comprising school committee members; ensure criteria are announced before interviews
Cost data collection
: Obtain from the Principal the annual fee structure and line-item requirements per student (uniform, shoes, socks, textbooks, notebooks, stationery) in both quantity and cost terms to compute per-student annual need for scholarship budgeting.
Scholarship recommendation:
Compile total per-student cost as the decisive figure for scholarship consideration and present to the Chairperson for final award determination
Disbursement execution
: Arrange fee payments directly to the school for awarded students; for books, uniforms, and other items, coordinate school orders to approved vendors and process vendor payments after delivery against verified invoices provided by the school. Maintain auditable records
Foundation supplies
: Organize annual provision of school bags and raincoats to selected students; run a compliant procurement process with at least three quotations and best-value assessment
Procurement and distribution
: Obtain a minimum of three quotes for bags and raincoats, evaluate on price, quality, and terms per defined award criteria, finalize supplier, ensure timely collection, and distribute during the Awards function. Keep secure record
Academic screening tes
t: Administer a written test in Maths, English, and Science (20 marks), ensure papers are checked by counselors or school committee members, and apply a pass criterion of 10/20 as part of the selection process
Governance and compliance:
Publish selection criteria (including test and interview weighting and pass marks) at the start of the cycle; avoid mid-process rule changes; maintain transparent, fair, and documented procedure
Reporting
: Produce cycle reports on applications received, shortlisted and interviewed candidates, test results, awards approved, funds disbursed, vendor selections, and inventory distribution; maintain data privacy and audit ready records
Requirement
Bachelor's degree in education, social sciences, business management, or related field; training in admissions, scholarship administration, or procurement preferred.
6+ years in school operations, admissions, scholarships, or community programs, with experience coordinating interviews, tests, and vendor procurement
Proficiency with documentation control, stakeholder communication, basic budgeting, and record-keeping aligned to procurement and audit guidelines.
