Role Purpose
To act as the central coordinator for all orders and developments - making sure every style, fabric, and project has a clear Time & Action plan, is tracked daily, and that you get one clean update, instead of you chasing 10 people.
One brain in the middle that always knows: what is due, where it is stuck, and who moves next.
Key Responsibilities
A. Order & Development Planning (T&A)
For every buyer order, sampling programme, and key fabric development:
Create a Time & Action (T&A) with milestones and dates:
Fabric: yarn ? weaving/knitting ? dye/print ? finishing ? testing ? in-house.
Garment: fabric in-house ? cutting ? sewing ? finishing ? packing ? dispatch.
Ensure all owners (fabric merch, cutting in-charge, production in-charge, etc.) agree on realistic dates.
B. Daily Coordination & Follow-up
Every working day:
Check with Fabric / Merchandising: what moved yesterday, what is planned today.
Check with Cutting & Sewing: output vs plan, styles running, any bottlenecks.
Check Finishing / Packing: status towards dispatch commitments.
Check Lab / Testing: pending reports, tests to be initiated.
Check Accounts only for critical items: payments that directly block production/testing/dispatch.
Update the central tracker and mark:
On-track (Green),
At risk (Amber),
Delayed (Red) - with reasons.
C. Capacity Planning & Line Loading
With IE / line-setter / production supervisor:
Convert order quantities and SAM (when available) into daily production targets.
Prepare a line loading plan - what style runs where, from which date to which date.
Make sure promised ex-factory dates match realistic capacity.
D. Tracking & Reporting
Maintain a master PPC tracker (in Google Sheets / Excel) covering:
All styles, fabrics, orders, and key internal projects.
Planned vs actual dates for each T&A milestone.
Prepare a daily summary report to you (see template below).
Prepare a weekly review summary:
Completed milestones.
Slippages and root causes.
Corrective actions & support required.
E. Risk Management & Escalation
Identify risks early*:
Vendor delays, fabric rejections, test failures, machine breakdowns, absenteeism spikes, etc.
First try to resolve with the concerned person/vendor.
Escalate to you only when:
It affects a key buyer date,
It needs extra money,
Or a policy/priority decision.
F. Data Discipline & Systems
Ensure all responsible teams update the tracker regularly (not just verbal).
Keep records for:
Confirmed T&A dates.
Production output per day per line.
Rework / rejection at key stages (fabric and garment).
Support migration of this logic into ERP later, once you implement.
G. Cross-Functional Behaviour
Be neutral and factual - no favouring any department.
Communicate clearly and respectfully with everyone:
Tailors and floor supervisors,
Merchandisers, fabric managers,
Mill / vendor contacts,
Accounts and lab staff.
Surface all updates -good or bad - early with 1-2 solution options.
