Tour Operations Manager

Position Overview



We are looking for an experienced

Tour Operations Manager

to oversee all operational activities relating to tour planning, supplier coordination, costing, itinerary building, and document preparation. The ideal candidate must have strong supplier relationship management skills, excellent destination knowledge, the ability to negotiate competitive rates, and competence in preparing accurate quotations and proforma invoices within strict timelines.

Key Responsibilities



1. Supplier & Partner Management



Build and maintain strong relationships with hotels, DMCs, transport operators, and activity providers. Negotiate competitive rates, contracts, and service agreements. Evaluate supplier performance to ensure consistent service quality. Explore and onboard new suppliers for existing and upcoming destinations.

2. Tour Operations & Coordination



Manage the complete lifecycle of tour operations from contracting to final execution. Ensure timely confirmations of hotels, transfers, activities, and other ground services. Coordinate with suppliers to ensure error-free delivery of services. Troubleshoot operational challenges and ensure smooth travel experiences.

3. Quotation, Costing & Proforma Invoice Preparation



Prepare accurate cost sheets and competitive quotations as per client requirements. Deliver final quotations to the sales team on time. Create professional, compliant

Proforma Invoices

including: Breakdown of tour components Pricing and tax applicability Terms & conditions Payment schedules Validity of rates Ensure all pricing and invoice details match supplier contracts.

4. Destination Knowledge & Product Development



Maintain updated knowledge of domestic and international destinations. Research new destinations, hotels, sightseeing options, and travel trends. Develop innovative tour packages and enhance product offerings. Update the team regularly on destination updates and changes.

5. Financial & Reporting Responsibilities



Maintain updated supplier rates and seasonal tariffs. Track itinerary margins and overall profitability. Generate weekly/monthly operational performance reports. Maintain accurate documentation of contracts and negotiations.

6. Customer Service & Issue Resolution



Support the customer service team during pre-travel, on-travel, and post-travel escalations. Coordinate with ground partners for urgent requests or amendments. Ensure customer satisfaction by providing timely operational support.

7. Team Coordination & Internal Communication



Work closely with the sales, accounts, and management teams. Train junior staff on costing, destination knowledge, supplier handling, and documentation. Ensure proper communication flow between teams for smooth operations.

Required Skills & Qualifications



5-10 years

Preferred Qualifications



Experience with FIT, GIT, & MICE tour handling. Knowledge of visa documentation and travel insurance processes. Ability to manage multiple destinations and large volumes of itineraries. Preferable an FIT Specialist
