Position Overview
The Manager - Administration is responsible for overseeing and managing all administrative, maintenance, security, and facility operations across the entire campus. This is a technical and operational role requiring strong management skills, technical aptitude, and the ability to coordinate multiple departments simultaneously.
Key Responsibilities
Planning & Reporting
Verify and review monthly reports from all departments
Plan and implement new development initiatives
Ensure legal compliance across all operational areas
Review all incoming correspondence and provide timely responses
Implement cost reduction strategies and monitor expenditure
Ensure availability of necessary tools and equipment
Policy Development & Maintenance Management
Develop comprehensive policies and standard operating procedures for all maintenance activities
Create preventive maintenance schedules and checklists for equipment and facilities
Handle emergency situations and crisis management
Prepare troubleshooting guidelines and manuals
Monitor and update maintenance schedules with necessary modifications
Conduct regular inspections and ensure timely completion of all maintenance work
Staff Management & Supervision
Communicate effectively with all levels of staff
Allocate work assignments and monitor employee performance
Resolve conflicts and disputes among staff members
Take disciplinary action on matters requiring intervention
Conduct regular campus inspections and walkarounds
Train office assistants and all staff on work procedures, methods, and regulations with service-oriented approach
Orient new employees about the organization
Committee & Coordination Work
Organize Local Management Committee meetings
Prepare minutes and records of meetings
Gather information about ongoing institutional projects and positions
Coordinate as liaison for external training programs or events hosted on campus
Prepare and finalize budget estimates and submit to accounts department
Security & Transportation
Maintain necessary communication with security guards and their supervisors
Exercise complete control and supervision over security personnel
Plan and arrange daily and special vehicle requirements
Facility & Resource Management
Supervise canteen and general stores operations
Manage hostel and laundry facilities
Ensure proper management of items and materials to prevent damage across campus
Monitor health and machinery maintenance workshop operations
Oversee sports facilities and information technology infrastructure
Manage procurement processes

Machine Maintenance Workshop
Cleanliness & Hygiene
Supervise cleaning staff and ensure comprehensive planning
Maintain cleanliness throughout campus including all corners and areas
Cost Management
Monitor daily expenses closely
Prevent unnecessary expenditure on diesel, electricity, and other utilities
Technology Implementation
Gather campus-wide computerized information
Implement mobile applications for daily operations as quickly as possible
Bring transparency to daily work processes through technology
Health & Personal Wellness
Take care of personal health and well-being
Review daily health reports seriously
Take immediate decisions when necessary
Strong technical knowledge of building maintenance, electrical systems, plumbing, and civil works
Understanding of preventive maintenance practices
Knowledge of safety protocols and emergency procedures
Management Skills
Minimum 10 years of experience in administration and facility management
Experience in educational trusts, educational institutions, or NGOs will be strongly preferred
Proven leadership and team management abilities
Excellent organizational and planning skills
Strong problem-solving and decision-making capabilities
Personal Attributes
Male candidate required due to operational requirements
Excellent communication skills in Marathi and English
Ability to work under pressure and handle emergencies
High level of integrity and accountability
