Job Summary
The Manager - Exhibition Services will be responsible for end-to-end execution of the exhibition component of medical and healthcare events organized by Medivision Events. The role includes exhibitor coordination, floor plan management, vendor liaison, on-site operations, and ensuring a high-quality experience for all participating industry partners.
Key Responsibilities:
1. Exhibitor Coordination
Act as the primary contact for all exhibitors from onboarding to event closure.
Share exhibitor kits, timelines, technical manuals, and logistical instructions.
Address queries and provide operational support throughout the event cycle.
2. Layout & Floor Plan Management
Work with design teams or external agencies to create exhibition layouts and allocate booth space.
Ensure layouts comply with venue restrictions, safety regulations, and optimal traffic flow.
3. Vendor & Contractor Management
Coordinate with booth fabricators, electricians, branding teams, and logistics providers.
Monitor vendor deliverables and quality of execution as per event timelines.
4. On-Site Operations
Manage the exhibition area setup, execution, and dismantling phases.
Ensure timely provisioning of services such as electricity, furniture, internet, and signage.
Implement safety protocols and provide on-ground exhibitor assistance.
5. Documentation & Reporting
Maintain detailed records of bookings, requirements, service orders, and payments.
Prepare post-event reports including exhibitor feedback and improvement recommendations.
6. Financial Coordination
Track budgets, vendor payments, and service charges.
Coordinate with the finance team for invoicing, payment follow-ups, and reconciliations.
Preferred Skills:
Excellent communication and client servicing skills
Strong understanding of exhibition layouts, vendor materials, and onsite logistics
Proficiency in Excel, Google Suite, and event/project management software
Meticulous planning, time management, and problem-solving abilities
Ability to work under pressure in a fast-paced, deadline-driven environment
Working Conditions:
This role requires physical presence at event venues during setup and live days.
Working hours may extend late into the evenings, especially during event execution periods.
Weekend and travel availability is essential based on event schedules.

Pay: ?35,000.00 - ?45,000.00 per month
