Job Purpose: The Business Support Executive / Supervisor is responsible for providing comprehensive administrative, logistical, and operational support to the Business Head and broader organization. This role ensures the efficient execution of key projects, optimizes resource allocation, and enhances operational workflows. By fostering collaboration and integrating innovative technologies, the Business Support Executive / Supervisor enables the mining business to achieve its strategic objectives and maintain high standards of performance.
JOB RESPONSIBILITIES
Business Support Executive - NR
Administrative Support:
Manage the Business Head's calendar, schedule appointments, and organize meetings to optimize time efficiency.
Handle all incoming correspondence, prioritizing and directing inquiries appropriately.
Prepare and review documents, reports, and presentations for the Business Head.
Prepare MIS reports and track company performance, providing insights into progress across various timeframes.
Prepare and distribute performance reports to senior management for strategic decision-making.
Identify and mitigate risks associated with business support functions, implementing controls and contingency plans as necessary.
Project Coordination:
Support the planning, execution, and monitoring of key projects to ensure timely completion, adherence to scope, and high-quality standards.
Coordinate with various departments to gather necessary information and ensure project milestones are achieved.
Prepare project status reports and communicate progress to the Business Head.
Facilitate effective communication and collaboration between departments to ensure alignment and achieve business goals.
Support and coordinate client visits, board meetings, and other key events, ensuring all logistical details are managed.
Operational Efficiency:
Oversee the allocation of resources ensuring that staff and budget are utilized effectively to meet organizational needs.
Oversee daily operations within the Business Head Office to ensure smooth and efficient processes.
Support in the implemention of administrative systems and procedures to improve workflow and efficiency.
Conduct research and analysis on industry trends, market conditions, and competitive landscape to support strategic decision-making.
Provide insights and recommendations based on data analysis and performance metrics.
Assist in managing relationships with external vendors and service providers, negotiating contracts and ensuring the delivery of high-quality services.
Meeting Coordination and Documentation:
Prioritize and handle incoming correspondence, acting as a liaison between the CEO and other departments.
Organize and coordinate client visits, MRM, and BRM, preparing minutes and following up on action plans.
Ensure effective documentation and communication of meeting outcomes to relevant parties.
Innovation and Technology Integration:
Cordinate with departments to identify and implement emerging technologies that enhance business outcomes.
Prepare presentations for budgets, future plans, conferences, and seminars through innovative technological solutions.

Responsibilities:

  • Prepare ,Monitor and control admin Opex/Capex budget
  • Prepare SLAs for canteen/transport/housekeeping/guest house service vendors and monitor the services levels
  • Take periodic visits to Admin areas in mining/canteen/guesthouses and identify problems and take actions to correct them.
  • Ensure effective hygiene and housekeeping in roads, office complex, township , and guesthouses .
  • Ensure regular Pest Control services in offices.
  • Plan, budget, allocate and monitor HMVs/LMVs based on employee strength and operational needs
  • Plan, procure and control purchases of Housekeeping, Guesthouses, Stationery and Canteen items
  • Book/arrange guesthouse/ local transport/taxi during local/outstation travel of company executives
  • Organise employee connect events (Festivals. Special events) and welfare activities in Company Offices
  • Ensure timely processing of admin bills/payments through NIS/PR/SES based on SLA levels
  • Ensure timely renewal of annual AMCs of equipment and proper repair maintenance
  • Conduct internal user feedback surveys on Canteen/transport/ housekeeping services and take corrective actions. Ensure conducting monthly canteen committee and follow-up action on MOM.
  • Timely submission of all admin. related MIS, Data as and when required
