Inviting applications for the role of Customer Onboarding Management Trainee:
The role is responsible for managing end-to-end contractor onboarding processes in line with customer requirements and compliance standards. The incumbent will handle employee, vendor, and candidate queries related to onboarding, ensuring timely and accurate resolution.
Additionally, the role requires coordinating with contractors throughout the onboarding journey--from verification and documentation to day-one readiness. The candidate will ensure compliance with all policy and procedural requirements, maintain accurate records in designated systems, and generate necessary reports for audits and management reviews. Strong attention to detail, communication skills, and the ability to manage multiple processes simultaneously are essential for success in this role.
Responsibilities
1. Customer Onboarding:

  • Receive onboarding requests from the recruiter or COB (Change of Business) team.
  • Initiate communication with candidates and share onboarding documentation and customer-specific instructions.
  • Initiate and monitor background checks for candidates/contractors in coordination with verification teams.
  • Collect, validate, and maintain candidate documents (e.g., IDs, forms, certificates) in accordance with compliance standards.
  • Coordinate with relevant stakeholders to ensure timely completion of onboarding tasks.
  • Update and maintain onboarding status in Applicant Tracking Systems (ATS) or internal HR systems.
  • Share onboarding packs or documentation with customers, if required.
  • Escalate documentation discrepancies, compliance issues, or delays to appropriate teams.
  • Maintain accurate onboarding records and documentation in SharePoint or other repositories.
  • Provide periodic onboarding status reports to customer-identified recipients.
  • Coordinate with payroll and IT teams to ensure day-one readiness (system access, equipment, etc.).
  • Liaise with HR and compliance teams to complete required onboarding paperwork.
  • Direct contractors to relevant teams for payments, benefits, or HR-related support.
  • Manage candidate onboarding issue resolution and escalate as necessary.
  • Collect feedback from candidates and internal stakeholders to identify process improvement opportunities.
  • Facilitate procurement and deployment of equipment to contractors on behalf of customers.
  • Manage offboarding activities, including coordination with IT and retrieval of deployed equipment.
  • Validate contractor background check completion from the designated third-party vendor.
  • Track and confirm completion of contractual employment agreements with Customer.
  • Coordinate with contractors throughout the onboarding journey until day-one.
  • Respond to contractor queries related to onboarding process, compliance, logistics, and day-one readiness.
  • Consolidate onboarding readiness status (documentation, BGC, IT readiness, training) and report to Customer HR.
  • Confirm day-one readiness to Customer HR team.
Qualifications we seek in you!
Minimum Qualification
  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Prior experience within the recruitment, staffing, or talent solutions industry is strongly preferred.
  • 3-5 years of experience in HR operations, pre-employment screening (e.g. background checks), onboarding, or related functions.
  • Experience supporting contractor onboarding and pre-employment screening processes, including background checks, compliance verification, and documentation management--is strongly preferred.
  • Proficiency in case management tools (e.g., ServiceNow) and Microsoft Excel.
  • Experience working with applicant tracking, HRIS, onboarding, and background check systems (e.g., Workday, Scout Logic, Sterling, First Advantage, PROMESA, HireRight, etc.).
  • Experience collaborating with third-party background check vendors and understanding related compliance requirements.
  • Experience working in an HR Shared Services or multi-client operations environment preferred.
  • Excellent spoken and written English (C1 level), with strong interpersonal and stakeholder management skills.
  • Strong analytical, reporting, and problem-solving abilities.
  • Highly detail-oriented, with strong organizational, prioritization, and time management capabilities.
