Job Title: Site Coordinator - Employee Transportation

Job Purpose:
The Site Coordinator is responsible for managing and coordinating all employee transportation activities at the assigned site. The role ensures timely, safe, and efficient movement of employees, compliance with transport policies, and effective coordination with vendors, drivers, and employees.
Key Responsibilities:
Daily Transport Operations
? Oversee daily deployment of cabs, buses, and other transport modes.
? Ensure all employees are picked up and dropped off as per schedule.
? Monitor vehicle movement using GPS/tracking systems where applicable.
? Handle last-minute changes, ad-hoc requirements, or breakdowns promptly.
Vendor & Driver Coordination
Liaise with transport vendors for vehicle allocation and driver management.
Ensure drivers follow company transport protocols, dress code, and behavior standards.
Verify driver documents and vehicle fitness certificates regularly.
Employee Support
Act as the first point of contact for employees regarding transport issues.
Address complaints, delays, or safety concerns and escalate where necessary.
Coordinate with the transport helpdesk and admin for employee communication.
Safety & Compliance
Ensure compliance with company and state transport safety regulations.
Monitor adherence to escort deployment norms for female employees (as per government guidelines).
Conduct random vehicle and route checks for safety and discipline.
Report incidents, accidents, or violations immediately and maintain records.
Documentation & Reporting
Maintain daily trip sheets, attendance records, and vendor billing data.
Validate transport invoices against trip data before submission.
Generate and submit daily, weekly, and monthly MIS reports on transport performance.
Coordination with Internal Teams
Work closely with security, HR, and administration to ensure smooth transport operations.
Participate in transport review meetings and suggest operational improvements.
Qualifications & Skills:
Bachelor's degree in any discipline (preferred: logistics, administration, or management).
2-5 years of experience in transport coordination, preferably in employee transport services.
Strong communication and interpersonal skills.
Good knowledge of local geography and routes.
Proficiency in MS Excel, transport software, or GPS tracking tools.
Ability to handle pressure and resolve on-ground challenges quickly.
