MAC Coordinator

Summary

The MAC Coordinator supports the day-to-day management of Moves, Adds, and Changes (MAC) across assigned sites. This role ensures all MAC activities -- from small furniture orders to larger group moves -- are executed efficiently, safely, and within budget. The MAC Coordinator partners closely with MAC Managers, vendors, and internal clients to ensure smooth operations, accurate reporting, and adherence to all company and safety protocols.

About the role:

Ticket and Project Coordination

Manage and personally complete all assigned work tickets from initiation through "Work Complete" status. Coordinate small furniture orders: obtain vendor pricing, cost center approvals, and POs; confirm goods receipt (GR) and schedule installation. Support MAC Managers by creating and defining scopes of work for small projects at assigned sites and flag for MAC Manager project setup. Coordinate part-time vendor assistance as needed for moves, installations, or furniture work.

Vendor and Budget Management

Track and manage quarterly MAC vendor budgets; monitor PO activity created by MAC Managers to ensure budgets remain on target weekly and monthly. Host weekly or biweekly meetings with third-party MAC vendors to review project status, priorities, and issue resolution. Maintain oversight of offsite furniture storage with 3rd party vendors, including quarterly warehouse visits and inventory verification.

Safety and Compliance

Ensure all third-party vendors comply with C&W and AMD safety and operational protocols. Complete all assigned safety and compliance training on schedule. Escalate safety or compliance issues promptly to the MAC Manager.

About you:

2+ years of experience in facilities, workplace operations, or moves/adds/changes coordination preferred. Strong organizational skills with the ability to manage multiple requests simultaneously. Proficiency in workplace or IFM software systems (e.g., Archibus, Corrigo, or similar). Experience working with furniture systems (e.g., Herman Miller, Steelcase, etc.) is a plus. Excellent written and verbal communication skills. Demonstrated ability to work independently and collaboratively in a fast-paced environment. Basic understanding of budgeting and purchase order processes.

Working Conditions

On-site role with occasional travel to local or regional sites and vendor warehouses. May require periodic lifting or movement of light furniture or equipment.
