1. Transport Planning

• Plan daily dispatch schedules based on production output and customer delivery priorities.
• Allocate trucks, tempos, or containers as per load requirement to maximize vehicle utilization.
• Coordinate with transporters for vehicle availability, placement, and turnaround.
• Monitor loading, sealing, and gate-out processes to ensure timely dispatch.

2. FG & WIP Movement Planning

• Plan and coordinate inbound material movements to ensure optimum space usage and dispatch.
• Track material shortages and communicate with production teams.
• Support internal logistics flow between departments (Warehouse ? production ? warehouse).

3. Warehouse & Inventory Coordination

• Work with warehouse teams to ensure proper stacking, space utilization, FIFO/LIFO compliance.
• Track daily stock levels of finished goods especially the ones nearing expiry
• Avoid stockouts by proactive replenishment planning.

4. Documentation & Compliance

• Prepare and verify documentation such as:

• E?way bills
• Delivery challans
• Gate passes
• Transport invoices
• Loading slips
• Ensure compliance with GST norms, transport rules, and internal audit guidelines.
• Maintain accurate records for inspections, statutory audits, and ISO requirements.

5. Monitoring & Control

• Track vehicle movement from factory to customer location.
• Monitor Factory TAT (Turnaround Time), loading time, and detention cost.
• Identify delays, discrepancies, or losses and escalate immediately.
• Maintain MIS reports: dispatch summary, freight cost, vehicle usage, and daily logistics KPIs.

6. Vendor & Transporter Coordination

• Liaise with transporters and 3PL partners for freight negotiation, service issues, and vehicle arrangement.
• Evaluate transporter performance on parameters like on?time placement, cost, and transit quality.
• Resolve operational issues with transporters and ensure SLA adherence.

7. Cross-Functional Collaboration

• Work closely with:

• Production
• Stores & Warehouse
• Procurement
• Quality
• Sales/Marketing
• Communicate dispatch status, shortages, and upcoming dispatch plans to stakeholders.

Key Skills & Competencies
Technical Skills

• Strong understanding of factory logistics, dispatch, and transportation processes.
• Experience with ERP.
• Skilled in Excel (pivot tables, VLOOKUP, MIS templates).
• Knowledge of statutory documentation (E?way Bill, GST rules, transport compliance).

Soft Skills

• Good communication and interpersonal skills.
• Problem-solving approach during production/logistics bottlenecks.
• Ability to work under pressure and manage multiple shipments.
• Strong coordination & time-management skills.
