The Logistics Manager - Institutional Sales is responsible for end-to-end logistics planning, order fulfilment, and service delivery for institutional clients. This role ensures accurate, timely, and cost-effective movement of goods for bulk and contract-based orders, supporting the Institutional Sales team in achieving service-level commitments and customer satisfaction.
Key Responsibilities
Coordinate and execute logistics for bulk, contract-based, and scheduled institutional orders.
Ensure timely delivery as per tender terms, SLAs, and client requirements.
Coordinate dispatch schedules with Institutional Sales and production/operations teams.
Serve as the logistics point of contact for key institutional clients (government, hospitals, corporates, etc.).
Resolve delivery issues, shortages, documentation discrepancies, and service-related concerns.
Support pre- and post-tender documentation requirements from a logistics standpoint.
Plan and execute transportation for multi-location institutional deliveries.
Negotiate and manage transporters/3PL partners ensuring service quality and cost optimization.
Manage inventory allocation for institutional orders to ensure stock availability.
Coordinate with warehouse teams for picking, packing, labelling, QC checks, and compliance with client specifications.
Maintain high levels of stock accuracy through FIFO/FEFO and regular cycle counts.
Ensure compliance with tender-specific logistics requirements (packaging, labelling, batch details, etc.
Oversee preparation of delivery challans, e-way bills, invoices, and other regulatory paperwork.
Coordinate with finance for billing accuracy and timely submission of delivery proofs (PODs).
Align closely with Institutional Sales, Production, QA, Finance, and Supply Chain teams to plan and execute dispatches.
Participate in sales planning meetings to provide logistics capacity, timelines, and feasibility inputs.
Support new institutional account onboarding by defining logistics processes and Track key metrics: on-time delivery (OTD), logistics cost per order, POD closure time, and complaint resolution time.
Drive process improvements for reducing lead time and enhancing customer experience.
Optimize transport routes, warehouse processes, and documentation flow.
Qualification
Any Graduate/Post Graduate
Experience
3-8 years of experience in logistics management, preferably handling institutional or B2B sales deliveries.
Experience with tender-based supply and multi-location dispatches is an advantage.
Skills
Strong understanding of supply chain operations, warehousing, and transportation.
Excellent coordination, communication, and negotiation skills.
Strong problem-solving ability and customer service orientation.
Ability to work under tight deadlines and manage high-volume dispatches.
