Reports To: Logistics Manager / Operations Manager
1. Job Summary
The Logistics & Documentation Executive is responsible for coordinating end-to-end logistics operations, ensuring accurate and timely documentation for import/export shipments, and maintaining smooth communication with internal teams, suppliers, transporters, and customers. The role ensures compliance with regulatory requirements and supports efficient movement of goods.
2. Key Responsibilities
A. Logistics Coordination
Coordinate inbound and outbound shipments (local, domestic, import/export).
Plan and schedule pickups, deliveries, and dispatches with transporters and courier partners.
Monitor shipment movement, track status, and update stakeholders.
Ensure timely clearance of goods from ports, customs, or warehouses.
Maintain relationships with shipping lines, freight forwarders, CHA, and transport agencies.
Manage warehouse inventory records and support stock movement.
B. Documentation Management
Prepare, verify, and maintain shipping and logistics documents such as:
Invoice, Packing List, Delivery Challan
E-way Bill, E-invoice
Purchase Orders / Sales Orders
Bill of Lading (BL), Airway Bill (AWB), House BL
Certificate of Origin, Insurance Certificates
Import/Export declaration documents
Coordinate with CHA for filing shipping bill, BOE, and customs clearance documents.
Ensure documentation accuracy as per regulatory and customer requirements.
Maintain proper filing (physical and digital) for all logistics and shipment documents.
C. Compliance & Reporting
Ensure compliance with statutory regulations: GST, customs, DGFT, port norms, transport rules.
Create daily/weekly/monthly logistics reports (delivery status, pending shipments, freight cost, etc.).
Maintain logs for freight invoices, transporter bills, and get approvals for payments.
Assist in internal and external audits by providing required documentation.
D. Communication & Coordination
Communicate with sales, warehouse, purchase, and finance teams for shipment planning.
Coordinate with clients for delivery schedules, dispatch details, and document sharing.
Resolve shipment-related queries, delays, or discrepancies.
3. Required Skills & Qualifications
Graduate in Commerce / Supply Chain / Logistics (preferred).
2-5 years of experience in logistics and documentation (import/export preferred).
Knowledge of shipping, transportation, and customs processes.
Proficient in MS Office (Excel, Word) and ERP/Tally/Logistics software.
Strong communication, coordination, and problem-solving skills.
Ability to handle deadlines and work under pressure.
Job Type: Full-time
Pay: ₹35,000.00 - ₹40,000.00 per month
