The Logistics Assistant will support the Export Manager in managing end-to-end logistics for pharmaceutical products. The role involves assisting with export documentation, overseeing cargo stuffing at factories, supervising port loading, and monitoring shipments until delivery. The ideal candidate will be detail-oriented, proactive, and able to coordinate effectively with internal teams, vendors, and shipping partners.
Key Logistics Responsibilities:
Assist the Export Manager in planning and coordinating export shipments to ensure timely delivery.
Liaise with contract manufacturing sites to confirm production readiness, batch numbers, labeling, and packaging compliance before shipment.
Visit factories during cargo stuffing to oversee proper packing, verify documentation, and ensure adherence to regulatory and quality standards.
Supervise the loading of cargo at Mumbai port, ensuring correct handling, weight distribution, and secure stowage.
Coordinate with freight forwarders, shipping agents, and transport providers for smooth transportation from factory to port and onward shipment.
Monitor shipment progress, track containers, and follow up on any delays, deviations, or issues with carriers.
Assist in customs documentation and regulatory compliance for export, including bills of lading, shipping instructions, and export permits.
Maintain accurate shipment records, including cargo manifests, temperature-sensitive handling logs (if applicable), and quality compliance documentation.
Communicate regularly with internal teams--production, warehouse, quality, and procurement--regarding shipment schedules, status, and potential issues.
Proactively identify logistics bottlenecks or risks and coordinate timely solutions to avoid delays or disruptions.
To follow the regulatory compliance and coordinate with regulatory team for logistics regulatory compliances.
Support the Export Manager in preparing logistics reports, KPIs, and documentation for internal and external audits.
Ensure all processes follow pharmaceutical industry standards, including handling of sensitive products, cold-chain management, and compliance with safety regulations.
Assist in reviewing and improving logistics SOPs to enhance efficiency, reduce costs, and strengthen compliance.
Qualifications & Skills:
Bachelor's degree in Logistics, Supply Chain, Business Administration, or a related field.
1-3 years of experience in logistics or supply chain management, preferably in the pharmaceutical or FMCG sector.
Knowledge of export/import procedures, shipping documentation, and regulatory compliance.
Strong organizational skills, attention to detail, and ability to multitask.
Good communication and interpersonal skills to coordinate with multiple stakeholders.
Proficiency in MS Office , Microsoft Excel, and logistics or shipment tracking software.
Willingness to travel to factories and ports as required.
