The
Liaison Officer
is an all-rounder coordination professional responsible for
end-to-end work management, stakeholder follow-ups, and transaction coordination
across Blackbull Chamber projects (legal, finance, acquisition, settlement, documentation, client onboarding, and vendor coordination). The role requires strong communication, documentation discipline, and the ability to coordinate between internal teams and external parties to close tasks and transactions smoothly.
Key Responsibilities1) Work Management & Daily Coordination
Manage daily task allocation, follow-ups, and closures with internal teams (Legal, Finance, HR, Admin, Tech, Operations).
Maintain project trackers (task status, due dates, pending approvals, escalation logs).
Ensure every assignment has proper documentation, ownership, timeline, and closure proof.
Coordinate meetings, calls, and site visits; prepare MOM (minutes of meeting) and action items.
2) Transaction Management (End-to-End Coordination)
Coordinate transactional workflows:
payments, invoices, receipts, agreements, approval notes, and settlement schedules
(as applicable).
Track transaction stages: initiation ? approvals ? documentation ? execution ? closure.
Coordinate with banks, clients, vendors, consultants, and internal finance team for smooth movement of documents and confirmations.
Support escrow / wallet / collection routing coordination as per internal policies.
3) Liaison & Stakeholder Handling
Act as the single-point coordinator between:
Clients / Investors / Partners / Vendors
Lawyers / CAs / CS / Consultants
Government or regulatory offices (when required and permitted)
Handle professional communication: calls, emails, WhatsApp updates, reminders, and official follow-ups.
Ensure stakeholders receive correct updates without disclosure of confidential internal information.
4) Documentation, Reporting & Compliance Support
Collect and verify required documents from clients and vendors (KYC, company docs, financial docs, case papers, etc.).
Maintain proper filing: document naming, version control, submission logs, and acknowledgement proofs.
Assist in preparing basic drafts: follow-up letters, request emails, checklists, tracking sheets (as per templates).
Ensure confidentiality and compliance discipline in every communication.
5) Field Work & Verification Support (If Required)
Visit banks/registrar offices/client sites for document submission, collection, verification, and acknowledgments.
Coordinate stamping/notary/courier processes as per project need.
Ensure safe handling of originals and proper handover logs.
6) Escalation & Risk Alerts
Identify delays, missing documents, or non-cooperation risks early.
Escalate issues to reporting manager with clear summary + next action options.
Maintain incident log for critical matters.
Required Skills & Competencies
Excellent communication
(Hindi + English preferred) and professional stakeholder handling.
Strong follow-up discipline, negotiation skills, and closure mindset.
Good documentation skills (Excel/Google Sheets trackers, email drafting, reporting).
Understanding of transaction workflow, billing, and basic compliance coordination.
Ability to multitask and work under pressure with multiple projects.
High integrity, confidentiality discipline, and ethics-first approach.
Eligibility / Qualifications
Graduate (any stream); MBA/Operations or relevant certification is a plus.
1-5 years
experience in liaison/coordination/operations/transaction support preferred.
Candidates with exposure to
legal offices, NBFC/banking coordination, real estate documentation, compliance support
will be preferred.
Must be comfortable with field work and client interaction.
