KBR is seeking a highly skilled, detail-oriented and proactive Legal Operations Specialist to support the legal department's operational efficiency. This role will focus on invoice processing, settlement requests, procurement workflows, vendor onboarding, and travel expense reporting. The ideal candidate will have strong organizational skills, a collaborative mindset, critical thinking skills, and experience working with cross-functional teams including Legal, Finance, and Procurement. The ideal candidate will have prior experience and must be comfortable working across time zones in collaboration.
Key Responsibilities:
Invoice Processing & Financial Operations
Review, validate, and process legal department invoices in accordance with company policies.
Liaise with Finance and Legal teams to ensure proper coding and compliance
Collaborate with Accounts Payable to resolve discrepancies and ensure timely payments.
Assist in reporting on legal spend along with budget tracking and forecasting
Responsible for P-Card purchases and reconciliations
Assist with month-end accruals and reclassifications as needed
Settlement Requests
Coordinate internal approvals and documentation for legal settlement payments.
Track and report on settlement activity for tax reporting purposes.
Procurement & Vendor Management
Initiate and manage procurement requests for legal services and tools.
Coordinate with internal attorneys on Outside Counsel engagement
Coordinate onboarding of non PO legal vendors in ERP systems and ebilling system.
Travel & Expense Reporting
Process travel expense reports for legal team members.
Ensure submissions comply with company travel policies.
Qualifications:
Education & Experience
Bachelor's degree in Business, Finance, Accounting or related field.
4+ years of experience in legal operations or finance/accounting
Skills
Excellent English verbal and written communication skills
Highly organized with ability to manage multiple priorities and deadlines
Highly proficient with the following software tools
+ Microsoft 365 - Word, Excel, PowerPoint, OneDrive, SharePoint, etc. Ability to work independently, exercise sound judgment and handle sensitive matters with discretion
Strong attention to detail and ability to manage multiple priorities.
Self-driven, operates with a sense of urgency, and resourcefulness
Strong interpersonal skills for building and maintaining productive working relationships
