Prepare, review, and process lease agreements, amendments, renewals, and terminations
Ensure all leasing documents comply with company policies and legal requirements
Maintain accurate digital and physical lease files and databases
Track important lease milestones (expirations, options, rent escalations)
Financial & Reporting Functions
Assist with account reconciliation, and deposit tracking
Review and route invoices for approval; ensure timely payment processing
Generate and distribute leasing activity reports for management
Support budget preparation and operational planning
Compliance & Recordkeeping
Maintain compliance
Perform background and credit checks
Monitor certificates of insurance and vendor compliance documentation
Cross-Department Coordination
Collaborate with property managers, legal, accounting, and maintenance teams
Communicate policy updates and ensure consistent leasing practices
Support audits by providing lease documentation as needed
General Office Tasks
Manage leasing calendars, appointments, and correspondence
Perform data entry and update CRM/property management systems
Preferred candidate profile
1+ years experience in leasing, property administration, real estate, or related administrative role
Knowledge of commercial property management operations
Familiarity with lease agreements, onboarding, and Fair laws
Experience with property management systems
Skills & Competencies
Excellent communication and customer service skills; able to maintain positive relationships
Strong attention to detail with highly accurate data entry and document handling
Organized and able to manage multiple tasks, deadlines, and priorities independently
Strong problem-solving skills with proactive follow-through
Proficiency in MS Office Suite (Excel, Word, Outlook) and CRM/database tools
Ability to read and interpret leasing terms and financial documents
Team player with a collaborative mindset across departments
Additional Assets (Nice to Have)
Real Estate License or property management certifications (e.g., CAM, NALP)
Experience analyzing rent rolls and supporting budgeting processes
Multilingual capability depending on tenant demographic
