Job Summary

This role is in the KYC Operation team in MUFG Enterprise Solutions India (MESI). The role will initially be focused on supporting the build out, scaling and execution of KYC Operations at MESI, and related administrative support. This position will assist the KYC MESI Operations Head in driving the KYC organizations agenda at MESI by providing necessary support in the areas of hiring, system infrastructure set up/enablement, BCP/DR areas, artefacts management and agenda tracking/updates management etc.

Main Responsibilities

People related:

  • Update and track KYC organizations hiring progress and scaling for review and assessment by senior stakeholders.
  • Coordinate with HR teams and respective functional managers in regional/global functions for new hires Workday ID creation, role-based system/applications/shared drives access enablement, administrative support (e.g. coordinating with GA teams for access/ID cards etc.).
  • Coordinate with IT teams for new hires basic system/IT infrastructure requirements.
  • Be the SPOC for colleagues in the MESI KYC organization for support with minor issues like update of agreed job objectives, leaves etc. in relevant HR systems.
  • Coordinate on an ongoing basis with HR, GA, Finance stakeholders in MESI on headcount position, and other MESI level statutory reporting as necessary.
  • Coordinate with respective regional/global functional managers for timely completion of performance assessments and associated updates in HR systems.
Functional support to KYC MESI Operations Head:

Assist in periodic engagements with regional/global functional managers who have a stake in MESI KYC organization by managing necessary paperwork, actions noting and tracking etc.

Assist in preparation of agenda for team meetings and track actions to closure.

Assist in completion of specific actions owned by the KYC MESI Operations Head (e.g., actions from regional and global offshoring forums).

Respond to regular and ad-hoc requests for support by regional/global FC function with a stake in MESI.

MESI specific functional support to KYC MESI Operations Head:

Assist in preparation of meeting materials for internal management level meetings at MESI, including an ad-hoc documentation that may be sought for MESI Board of Directors meetings, EXCO etc.
  • Assist in preparation and upkeep of MESI level organization charts, BCP/DR documentation, Legal documentation databank updates etc.
MESI specific administrative support to KYC MESI Operations Head:
  • Assist in updating administrative items like COVID tracker updates, seating/physical infrastructure related ad-hoc questions etc.
  • Assist in periodically updating MESI KYC organizations call tree (from a BCP/DR perspective).
  • Coordinate with IT/HR with respect to new hires who need remote onboarding arrangements (e.g. ensuring all necessary equipment and documentation is completed on time).
  • All other minor/non material administrative tasks for MESI KYC organization.
Candidate Profile

Qualifications/Skills required:

Academic and Technical:
  • Graduate in Business Management/Commerce/Economics/Arts/Science with good communication skills (verbal and written).
  • Good/Advanced MS Word, MS PPT and MS Excel skills.
  • 5 - 7 years of work experience in financial services, preferably in the areas of Financial Crimes
  • Compliance or Risk Management areas. Graduates with relatively lesser experience may also be considered if desired skillsets are available and there is willingness/aptitude to learn and be groomed.
  • Previous experience in engaging with sufficiently senior stakeholders is desirable, but not essential.
Behavioral (Soft Skills):
  • Collaborative with strong interpersonal communication skills (both verbal and written).
  • Self-motivated with an ability to work autonomously and initiate and prioritize own book of work.
  • Demonstrated ability to multitask/manage multiple projects simultaneously and to work in a fast-paced, demanding environment under pressure.
  • Excellent organization, critical thinking, and problem-solving skills.
  • Ability to drive complex discussions with MUFG management and stakeholders.
