Key Responsibilities- E?Waybill Generation
- Pull shipment data from internal systems and create accurate e?Waybills in the GST portal.
- Cross?check vehicle numbers, transporter details, and commodity codes before submission.
- Delivery Challan Preparation
- Build Excel?based challans (format can be standardized) with columns for: date, LR number, vehicle, quantity, unit, rate, total value, etc.
- Ensure each challan matches the corresponding e?Waybill and invoice.
- Monthly Mining Returns
- Log all dispatches, receipts, and stock positions in a master Excel sheet.
- Upload the compiled data to the i3MS portal before the 10th of every month.
- Reconcile any portal errors and resubmit within the same day.
- Permission Renewals & Compliance
- Maintain a calendar of all mining lease/permit expiry dates.
- Initiate renewal requests at least 30?days prior to expiry, attaching required documents (lease deed, NOC, etc.).
- Follow up with the mining office until the renewed permission is received and recorded.
- Transporter Authorization
- Issue transporter authorization letters (on company letterhead) with details of permissible routes, load limits, and validity periods.
- Upload scanned copies to the i3MS portal and save a digital copy in the shared drive.
- Permission?Wise Data Management
- Keep a permission?wise master register (Excel) that tracks:
- Permission number & issue date
- Expiry date & renewal status
- Allocated quantity (tonnes) per period
- Utilized quantity to date
- Balance remaining
- Update the register after each dispatch and after every renewal.
- Documentation & Record?Keeping
- Store all e?Waybills, challans, permits, and transporter letters in a centralized, folder?structured cloud drive (Google Drive / OneDrive).
- Archive physical copies in labelled binders for audit purposes.
- Reporting
- Prepare a weekly "Dispatch Summary" (total quantity dispatched, pending permits, upcoming renewals).
- Submit a monthly "Compliance Dashboard" to the senior trader, highlighting any overdue renewals or portal issues.
- Collaboration
- Liaise with the logistics team to ensure timely vehicle arrival and documentation.
- Coordinate with the finance team for invoice reconciliation and GST filing.
Required Skills & Qualifications- Experience: Minimum 1?year handling e?Waybill, delivery challan, and mining?related documentation.
- Software: Proficient in Excel (pivot tables, VLOOKUP, macros), comfortable navigating the i3MS portal and GST portal.
- Knowledge: Basic understanding of Odisha mining regulations and the i3MS workflow.
- Communication: Good written English (and optionally Odia) for correspondence with authorities and transporters.
- Attention to Detail: Ability to spot mismatches in numbers, dates, and documents.
- Organizational Skills: Strong calendar management and file?naming conventions.
