Role Overview
The Junior Executive - HR will be responsible for supporting the HR department in managing employee lifecycle activities, HR documentation, ERP data management, payroll coordination, attendance tracking, and compliance-related reporting. The role requires accuracy, confidentiality, and effective coordination with multiple internal departments.
Key Responsibilities
1. HR Operations & ERP Management
Manage and regularly update employee records in the ERP system, ensuring accuracy and compliance.
Generate employee IDs, maintain personal files, and manage employee originals documentation.
Coordinate with IT/Web/ERP teams for employee onboarding, email ID creation, and system updates.
2. Attendance, Leave & Payroll Support
Maintain employee attendance and leave records through ERP systems.
Generate monthly attendance and late-coming reports for management review.
Assist in monthly payroll processing, including salary statements, deductions, overtime, PF, ESI, and TDS coordination.
Coordinate with the Finance department to ensure timely salary disbursement and final settlements.
3. Joining, Resignation & Exit Management
Handle joining, relieved, and resignation data updates.
Process resignation letters, clearance forms, notice period tracking, and full & final settlement documentation.
Maintain resignation records and prepare monthly exit reports for management review.
4. Employee Records & Compliance Documentation
Maintain systematic filing of employee personal files (physical and digital).
Ensure secure storage and tracking of original documents with strict confidentiality.
Maintain employee age, qualification, gratuity, and benefits data as per statutory and institutional requirements.
5. Institutional Data & Accreditation Support
Collect, update, and maintain HR-related data for
NIRF, NAAC, and IQAC
submissions.
Maintain databases related to faculty qualifications, Ph.D., NET, SET, research activities, and experience.
Support HR audits and accreditation-related documentation and verification processes.
6. Administrative & Employee Support
Issue employee ID cards, uniforms, diaries, and maintain corresponding records.
Handle employee queries related to HR policies, payroll, benefits, and procedures.
Support employee engagement programs, events, and HR initiatives.
Eligibility & Skills
Post Graduate Degree (MBA) in Human Resources
Sound knowledge of HR processes, payroll, and statutory compliance
Proficiency in
MS Excel, Word, PowerPoint
, and HR/ERP software
Strong communication, interpersonal, and coordination skills
Ability to handle multiple tasks with attention to detail and confidentiality
