We are seeking a highly organized and detail-oriented
Project Coordinator
to support the successful execution of IT projects within a fast-paced
Managed Services Provider (MSP)
environment. The ideal candidate will assist Project Managers in planning, tracking, and delivering multiple client-facing projects by coordinating resources, maintaining documentation, and facilitating communication between internal teams, vendors, and clients.
This role requires a working understanding of
Microsoft 365 (M365) administration
and
network/infrastructure fundamentals
, to effectively support coordination of technical project tasks and communicate with technical teams and stakeholders.
Key Responsibilities:
Support Project Managers in the full lifecycle of IT projects, from initiation through to closure.
Coordinate project schedules, resources, equipment, and information across internal teams and third-party vendors.
Assist in preparing project plans, timelines, and budgets, particularly for M365 and infrastructure-related deployments.
Maintain and update comprehensive project documentation, reports, and records.
Track deliverables related to
Microsoft 365 migrations, user setups, license allocations
, and administration tasks.
Coordinate tasks for
network infrastructure upgrades
, including switches, firewalls, routers, and cloud environments.
Monitor project progress, flagging risks or delays, and escalating technical issues when necessary.
Organize and participate in stakeholder meetings, including scheduling, preparing agendas, and taking meeting minutes.
Communicate project updates to internal and external stakeholders clearly and consistently.
Collaborate closely with account managers, engineers, and service desk teams to ensure seamless delivery.
Support ongoing improvement of project coordination processes, templates, and tools.
Qualifications:
Bachelor's degree in Business, Information Technology, or a related field.
2-5 years of experience in a project coordination or administrative role, preferably in an
MSP or IT services environment

Working experience or familiarity with Microsoft 365 administration
, including tasks such as:
User account provisioning and management
License management
Teams/Exchange/SharePoint configuration
Basic knowledge of network and infrastructure concepts
, including:
Switches, firewalls, servers, VPNs, Active Directory, cloud platforms (e.g., Azure, AWS)
Strong organizational skills and ability to manage multiple priorities in a fast-paced setting.
Excellent verbal and written communication skills, with attention to detail.
Proficiency in project management tools such as
Asana, Trello, ConnectWise Manage, Autotask, MS Project
, or similar.
Ability to collaborate effectively with technical and non-technical stakeholders.
Project management certification (e.g.,
CAPM, Agile Fundamentals
) is a plus but not required.
Working Conditions:
Fast-paced environment with shifting priorities and multiple concurrent projects.
May require occasional after-hours availability to support project deadlines or technical go-lives.
Remote or hybrid work arrangements may be available depending on location.
