Role Overview:
We are seeking a proactive and detail-oriented
Junior IT Asset (License & H/W Asset) Management Associate
to join our Global IT Team. The ideal candidate will manage the complete lifecycle of both
software licenses and hardware assets
across the organization. This role involves discovery, procurement, optimization, and maintenance of all IT tools and assets, ensuring cost efficiency, compliance, and operational excellence.
In addition, the candidate will support the team with
Level 1 IT troubleshooting
and contribute to improving IT processes and tools.
Key Responsibilities:
1. Software License Management
Discover and document all existing software tools and licenses across the organization.
Maintain a
centralized inventory
of all software licenses in the IT Asset Management tool.
Conduct
regular audits
to ensure license compliance, optimize usage, and eliminate redundancies.
Coordinate with vendors and procurement teams for
renewal, purchasing, and negotiation
of licenses.
Propose/Perform
proof of concept (POC)
and feature comparisons of new software tools.
Research
cost-effective alternatives
and make recommendations for more efficient
AI solutions
.
Engage with functional and business teams to understand their tool requirements and usage patterns.
Ensure alignment of software licenses with compliance, budget, and business needs.
Generate and present periodic reports on license utilization, cost, and compliance status to the Head of IT.
2. Hardware Asset Management
Manage the end-to-end lifecycle of all hardware assets (laptops, peripherals, network equipment, etc.).
Handle
procurement, allocation, deallocation, and retirement
of hardware assets.
Maintain and update the
IT Asset Management (ITAM) tool
with accurate hardware asset data.
Conduct
periodic hardware audits
to ensure accountability and accurate records.
Work closely with finance and operations for cost tracking and asset depreciation reporting.
3. Cost Control & Optimization
Monitor and control IT costs related to licenses, tools, and hardware procurement.
Identify opportunities to reduce software and hardware expenditures.
Support budgeting and forecasting for IT assets and licenses.
4. IT Support (L1 Activities)
Serve as the first line of support for basic IT issues such as user assets, access, hardware setup, and troubleshooting.
Escalate unresolved issues to Level 2/3 IT support teams.
Assist in onboarding/offboarding processes with proper asset and license allocation.
Key Deliverables:
Up-to-date software and hardware asset inventory.
Regular audit reports (monthly/quarterly) on IT license compliance and usage.
Cost optimization and savings reports.
Smooth renewal and procurement cycles for tools and hardware.
Timely resolution of basic IT support requests.
Qualifications
Education:
Bachelor's degree in Information Technology, Computer Science, or related field.
Experience:
1-3 years of experience in IT asset management, software license management, or IT support roles.
Experience with IT Asset Management (ITAM) tools (e.g., FreshService, ManageEngine, etc.) preferred.
Exposure to software procurement and vendor management processes.
Technical Skills:
Basic understanding of software licensing models (SaaS, subscription, perpetual, etc.).
Familiarity with IT hardware and peripheral management.
Proficiency in MS Excel, Power BI, or similar tools for reporting and analysis.
Knowledge of ITSM processes (Asset, Service Request, Incident and Change Management).
Work experience in IT ticketing tools- ITAM Module
Soft Skills:
Excellent communication and coordination skills.
Strong analytical and problem-solving abilities.
Detail-oriented with good documentation discipline.
Ability to work cross-functionally and manage multiple priorities.
