The IPD Coordinator is responsible for ensuring smooth admission, stay, treatment, and discharge of in-patients while maintaining high standards of patient care, documentation, and coordination between doctors, nursing, billing, and support staff. The role focuses on patient satisfaction, operational efficiency, and adherence to hospital protocols.
Key Responsibilities:
Patient Admission & Registration
Handle admission formalities, including verification of documents, consent forms, and patient details.
Coordinate with doctors, counselors, and reception for timely bed allocation.
Explain admission process, patient rights, and hospital policies to patients and attendants.
Patient Care Coordination
Act as the single point of contact for admitted patients and their families.
Ensure timely communication between patients, doctors, nurses, and other support departments.
Monitor patient needs, feedback, and complaints, resolving or escalating promptly.
Treatment & Services Coordination
Coordinate investigations, surgical scheduling, and procedures for in-patients.
Ensure timely delivery of pharmacy, diagnostic, diet, and housekeeping services.
Monitor patient progress and keep families informed.
Billing & Documentation
Oversee patient billing, deposits, insurance documentation, and package details.
Ensure accurate entry of services, procedures, and consumables in the billing system.
Coordinate with TPA/insurance desk for cashless/claim processes.
Prepare discharge summaries, reports, and final billing in coordination with doctors and billing staff.
Discharge Process
Ensure smooth and timely discharge by coordinating with doctors, nurses, billing, and pharmacy.
Educate patients/families regarding post-discharge instructions, medications, and follow-ups.
Take patient feedback before discharge and escalate issues if needed.
Quality & Compliance
Adhere to hospital protocols, NABH standards, and patient safety guidelines.
Maintain complete and accurate patient records.
Participate in audits, trainings, and quality improvement activities.
Skills & Competencies:

Knowledge of hospital processes, billing, and insurance procedures.

Qualifications & Experience:
Graduate in Healthcare / Hospital Administration or related field.
Minimum 1-3 years of experience in hospital operations/IPD coordination.
Prior experience in an NABH-accredited setup preferred.

Patient satisfaction and feedback scores.
Accuracy and timeliness of admission/discharge process.
Billing error rate and TAT (turnaround time).
Effective coordination between departments.
Compliance with NABH and hospital protocols.
