The IP Coordinator - General & Surgery is responsible for managing all inpatient coordination activities related to general medicine and surgical cases. The role involves handling patient admissions, explaining packages, supporting doctors with case updates, maintaining registers, and ensuring accurate data flow between departments. The coordinator also assists in patient follow-ups, digital tracking, and internal reporting to ensure smooth operations and excellent patient service.
Key Responsibilities:
Patient Coordination & Support:
Handle all admissions and transfers for General and Surgical inpatients.
Provide clear surgery and package explanations to patients and attendants.
Explain room categories, charges, and inclusions/exclusions as per hospital policy.
Coordinate with the concerned doctor to confirm surgery schedules and update patient records.
Support outside referral cases including package finalization and follow-up communication.
Assist in gynaecology package explanation and case-related queries for certain patients.
Follow up on doctor's surgical and post-operative cases for updates and progress tracking.
Documentation & Reporting:
Maintain and update the Nominal Register for all inpatients (no separate registers maintained).
Record and track EDD entries, pipeline details, surgery schedules, and discharge information.
Prepare and submit weekly and monthly reports to Nursing, C2P, and Marketing departments.
Maintain daily records of unspecified calls, patient enquiries, and follow-ups.
Perform Google Search Key checks daily for Gynaecologist-related SEO keywords and report findings to the Digital Marketing Team for optimization.
Ensure accurate data entry in Google Sheets and internal tracking tools

Patient Communication & Follow-ups:
Conduct follow-up calls for pre-surgery, post-surgery, and recovery status.
Handle patient queries and feedback professionally and ensure timely resolution.
Coordinate with Doctors for case-specific patient updates and follow-up actions.
Communicate doctor availability, surgery updates, and discharge status to patients and their families.
Coordination & Operational Support:
Coordinate closely with OPD, IPD, Billing, and Marketing teams for efficient execution of hospital processes.
Ensure smooth flow of information and approvals between the departments.
Provide daily reporting on patient status, pending cases, and follow-ups to the respective IP Head / Baburaj Sir.
Attend floor calls and support nursing and administrative teams during emergencies or peak hours.
Assist in other departmental tasks as assigned to maintain operational continuity.
Required Qualifications & Skills:
Bachelor's degree in Hospital Administration, Life Sciences, or Nursing (preferred).
1-3 years of experience in IP coordination, hospital front office, or administrative support.
Strong understanding of hospital admission, surgery scheduling, and package explanation.
Excellent communication, coordination, and patient-handling skills.
Proficiency in MS Excel, Google Sheets, and hospital information systems (HIS).
Ability to multitask, handle patient flow, and coordinate with multiple departments effectively.
Work Conditions:
Rotational shifts as per hospital schedule.
Direct interaction with patients, consultants, and multiple departments daily.
Requires good time management and a proactive attitude in a fast-paced environment.
