Inward & Outward Executive (Garments Manufacturing)

1) Inward Material Management
Ensure timely receipt of raw materials, fabrics, accessories, trims, packing materials, and finished goods.
Verify quantity, quality, and specifications of incoming materials against purchase orders and delivery challans.
Coordinate with Quality and Stores teams for inspection and acceptance of materials.
Maintain accurate inward records in ERP / registers.
Report shortages, damages, or discrepancies immediately to concerned departments.
Ensure proper tagging, labeling, and storage of materials.
2) Outward Material & Dispatch Management
Ensure timely dispatch of finished garments and materials as per production and customer schedules.
Prepare dispatch documents (invoice, challan, packing list, E-way bill, etc.).
Coordinate with production, stores, and sales teams for outward planning.
Ensure correct packing, labeling, and loading of goods.
Track dispatch status and confirm delivery with logistics partners.
Maintain outward registers and records.
3) Inventory & Stock Control
Maintain accurate stock records of raw materials, WIP, and finished goods.
Monitor stock levels to avoid shortages or excess inventory.
Support physical stock verification and audits.
Ensure FIFO/FEFO compliance in material movement.
4) Logistics & Transportation Coordination
Coordinate with transporters, courier services, and logistics vendors.
Negotiate freight rates and ensure cost-effective transportation.
Plan vehicle arrangements for inward and outward material.
Track shipments and resolve delivery issues or delays.
Maintain logistics cost records and reports.
5) Documentation & Reporting
Maintain proper documentation for inward and outward transactions.
Prepare daily, weekly, and monthly reports on material movement and logistics.
Update ERP/system data accurately and timely.
Support compliance with company policies and statutory requirements.
6) Coordination & Communication
Coordinate with Purchase, Production, Stores, Quality, Accounts, and Sales departments.
Communicate effectively with vendors and transporters.
Ensure smooth flow of materials across departments.
7) Process Improvement & Compliance
Identify gaps in inward/outward processes and suggest improvements.
Ensure adherence to company SOPs and safety norms.
Maintain cleanliness and organization in stores and dispatch areas.
8) Performance Indicators (KPIs)
Timely inward and outward processing (% on-time).
Accuracy in stock and documentation.
Reduction in material shortages and dispatch errors.
Logistics cost control and optimization.
Zero loss/damage of materials.
Compliance with SOPs and audit requirements.
