Job Title - Invoicing & Renewals Specialist

Job Overview:

We are seeking a highly motivated and detail-oriented Invoicing & Renewals Specialist to support our commercial invoicing, customer billing, and renewals processes. The ideal candidate is hardworking, organized, and communicative, with a strong commitment to accuracy and follow-through. The role involves extensive use of Excel, QuickBooks, ChatGPT, and SFDC, all of which are integral to our processes.

Key Responsibilities:

Prepare and issue commercial and customer invoices accurately and on time Manage renewal tracking and generate quotes for use by the sales team Maintain detailed, organized, and accurate records of all invoicing and renewal activity Support the monthly and quarterly close process as needed Work extensively with Excel, including use of macros, for data tracking, reconciliation, and reporting Use QuickBooks to generate invoices and maintain up-to-date customer and product records Use ChatGPT to assist with drafting internal and external communications, translating documents, and organizing, structuring, and summarizing data in support of overall responsibilities Use SFDC (Salesforce) to access and manage account and contract data as part of the invoicing and renewals workflow Communicate clearly and professionally with cross-functional stakeholders.

Qualifications:

Bachelor's degree in Accounting, Finance, or a related field preferred 1-2 years of relevant work experience preferred, but not required Excellent written and verbal communication skills Strong attention to detail and organizational skills Ability to manage time effectively and meet deadlines in a fast-paced environment Willingness to learn and take ownership of assigned responsibilities Proficiency with Excel, including macros, formulas, filters, and pivot tables Experience with QuickBooks (or willingness to learn quickly) Experience using SFDC (Salesforce) preferred * Comfort using ChatGPT to assist with day-to-day tasks
