Role Overview

The Inventory Executive is responsible for

owning daily executing and closing orders, along with physical inventory control

. This role ensures that every order placed is processed accurately, dispatched on time, and correctly reflected in stock systems.

Key Responsibilities1. Order Fulfillment (Daily Execution)

? Download and process daily orders from Shopify / Unicommerce

? Plan and prioritise orders to ensure dispatch within 24 hours for ready stock

? Pick, pack, and prepare orders accurately

? Generate AWBs, invoices, and shipping labels

? Ensure no order is dispatched without correct SKU, size, and tracking

? Maintain a daily dispatch tracker and close orders on the system

? In cases where material or stock is unavailable, promptly inform the merchant and coordinate for availability or alternative arrangements

? Work closely with the CRM team and update them promptly in case of any dispatch, stock, or production-related delays

2. Inventory Management (Physical Ownership)

? Maintain finished goods inventory (inward, outward, returns)

? Ensure correct SKU-wise storage, labelling, and shelf organisation

? Conduct weekly physical stock counts and reconcile with system stock

? Flag shortages, mismatches, or slow-moving stock immediately

? Ensure only approved, quality-checked stock is issued for dispatch

3. Production & Readiness Coordination (Execution Only)

? Coordinate with the production master for pending sizes or made-to-order pieces

? Track readiness of stitched and finished garments daily

? Ensure completed pieces are received, checked, and added to inventory

? Escalate delays or gaps to the PD / Merchandising team (no sourcing or planning responsibility)

4. Dispatch & Courier Coordination

? Coordinate with courier partners for daily pickups

? Track shipments and follow up on delayed or stuck deliveries

? Maintain a clean digital record of dispatches and tracking numbers

? Support CRM with accurate order status updates when required

5. Returns, Exchanges & Replacements

? Receive and inspect returned parcels

? Update return and exchange logs

? Process approved exchanges and re-dispatch within 24 hours

? Segregate returned stock based on quality and reusability

6. Systems, SOPs & Reporting

? Maintain operational trackers for:

? Dispatch

? Inventory

? Returns & exchanges

? Pending production

? Follow defined SOPs and suggest process improvements where required

? Take ownership of operational accuracy and closure

Skills & Experience

? 3-5 years experience in DTC operations, e-commerce fulfillment, or garment handling
Strong understanding of garment flow, sizes, and physical stock management

? Comfortable coordinating with tailors, production masters, and warehouse teams

? Familiarity with Shopify / Unicommerce preferred

? Strong organisational skills and attention to detail

? Proficient in Excel / Google Sheets

? Willingness to handle physical inventory and daily dispatch operations
