The Role Responsibilities

Strategy

  • The International Mobility Specialist will be the primary point of contact for all employees who are relocating on expatriate assignment or permanent local assignment. The role involves collaborating with Talent Acquisition (TA) team, Performance Reward and Benefits (PRB) team, Business and relocation vendors to the move is painless for employees and strives to achieve improved employee experience. The IM specialist is also responsible to ensure adherence to relocation policy, process and governance.
Business
  • Comprehensive understanding of the Bank's approach to International Mobility (IM) policies, product & process
  • Maintain data accuracy, policy and process adherence thereby ensuring compliance
  • Work with TA, business and HR partners to identify the right policy for the employee move
  • Manage complete assignment life cycle including assignment documentation, briefing calls, vendor initiations, issuing payroll instructions and PeopleSoft update
  • Maintain trackers, audit trials to improve controls and help manage risk
  • Maintain expatriate database in the system and ensure accurate assignment related information are updated.
  • Maintain 100% adherence toward documents and information recording on workflow tool
  • Manage end of assignment notification and organize process related to assignment extension, repatriation, localization and redundancies
  • Administer exception requests ensuring that all relevant approvals are obtained and communicated to Host Country Hiring Manager and Business HR of decisions
  • Ensure that vendor services are initiated on a timely and accurate basis based on full information
  • Conduct monthly stakeholder calls with documented minutes and ensure all action items are closed within the set timelines
  • Identify issues proactively and keep all the stakeholders informed to ensure smooth move and employee experience
  • Responding to ad-hoc queries and requests from the assignee or employees within agreed turnaround time (TAT)
  • Ensuring PeopleSoft and payroll accuracy for assignee and employees managed
  • Minimize escalations from stakeholders, expats or internal teams
Processes
  • Accuracy of data and documentation on workflow tool
  • Quality of expat or employee experience and feedback received
  • Feedback from stakeholders
  • Understanding of the policy and process
  • Level of relationship and understanding with among team members and HRSSC teams
People and Talent
  • 3-4yrs of experience in the field of HR, relationship management or relocation
  • Postgraduate or MBA on HR, relationship or hospitality
  • Excellent relationship, communication, problem solving, analytical skills
  • Priority customer managing experience and prior relocation experience preferable
  • Good understanding of all HR process like payroll, concepts of tax, immigration rules, PeopleSoft and other relocation workflow tools would be an added advantage
  • Must be a team player and must be highly organized and structured at work
  • Proficient in MS Office tools
  • Certification on relocation or mobility preferable
Governance
  • Accuracy of data and documentation on workflow tool
  • Adherence to turnaround levels
  • Control and compliance on the process

Other Responsibilities
  • Pro-actively work to ensure that statutory and internal deadlines are met.
  • Manage expats moves seamlessly by proactively working with multiple teams.
  • Pro-actively work to identify and address any potential risk and control issues relating to moves.
  • Effective interaction with GPS (including Payroll, International Mobility Team, Shares team, MIS team), Resourcing team, Vendors and country stakeholders (Service Delivery etc).

  • Ability to comprehend, interpret, and apply the appropriate sections of applicable laws, guidelines, regulations, ordinances, and policies
  • Extensive knowledge of HR activities, Global Mobility, Vendor management, immigration activities, SAP HRM (End User)

  • Strong ability to work both independently as well as on the team
  • Excellent time management skills with a proven ability to meet deadlines
