Footprints Mental Health Counseling Intake and Client Retention Coordinator
The Intake and Client Retention Coordinator ensures a smooth intake process by welcoming clients, verifying insurance, scheduling appointments, and maintaining accurate records. This role also supports client retention through positive engagement, follow-up communication, and collaboration with staff to encourage long-term participation in services. Strong customer service, organizational skills, and the ability to thrive in a fast-paced environment are essential.
Key Responsibilities
The position responsibilities are, but are not limited to:
Provide a warm and professional first impression by greeting clients via phone, text, or virtual platforms.
Respond promptly and courteously to incoming calls, texts, and emails, ensuring all inquiries are addressed with empathy and accuracy.
Facilitate comprehensive intake assessments to gather demographic, clinical, and insurance information, ensuring readiness for clinical services.
Create, update, and maintain accurate patient records and charts in accordance with HIPAA and organizational standards.
Confirm medical insurance eligibility and benefits for each client prior to service delivery, and communicate coverage details as needed.
Perform general clerical tasks including filing, copying, scanning, and distributing client documents securely and efficiently.
Address client concerns or complaints with professionalism and compassion, escalating issues when appropriate to ensure resolution.
Organize and prepare patient charts for clinical staff, ensuring all necessary documentation is complete and accessible.
Adhere to all facility policies, procedures, and regulatory requirements to maintain a safe and ethical care environment.
Fosters positive client relationships by ensuring a welcoming and supportive intake experience.
Engages clients with follow-up communication to confirm satisfaction and encourage continued participation in services.
Collaborates with clinical staff to identify opportunities for improving client retention and reducing appointment cancellations.
Maintains accurate records of client feedback to support ongoing quality improvement and retention strategies
Qualifications
:
College Degree or equivalent
Prior experience in healthcare, mental health, or social services preferred
Mastery English Proficency
Proficiency in electronic health records (EHR) systems is a plus
Excellent organizational and time-management skills.
Empathy, patience, and a commitment to client-centered care
Ability to work both independently and within a team
Ability to handle multiple assignments simultaneously
Knowledge of MS Office programs.
Ability to work in a fast-paced environment.
Flexibility and adaptability to meet the evolving needs of clients and the practice
