The Import-Export Executive will handle end-to-end import and export operations, including documentation, logistics coordination, regulatory compliance, and communication with suppliers, shipping lines, CHA, freight forwarders, and clients. The role ensures timely and accurate execution of shipments while maintaining proper records and adherence to statutory requirements.
Key Responsibilities:1. Import Operations
Coordinate with international suppliers for purchase orders, shipment schedules, and documentation.
Manage all import documents:
Commercial Invoice, Packing List, Bill of Lading/Airway Bill, COO, Insurance, MSDS,
etc.
Coordinate with CHA for customs clearance, duty payments, and documentation submission.
Track import shipments and ensure timely delivery to the warehouse/factory.
Verify HS codes, duty structures, and import compliance requirements.
Handle payment processing such as
etc.
Coordinate with shipping lines, freight forwarders, CHA, and transporters for vehicle placement, container booking, and documentation.
Track export shipments and provide timely updates to customers and management.
Submit export documents to banks for LC negotiation, DP/DA/TT documentation, and follow up for payment realization.
Ensure compliance with INCOTERMS, customs regulations, and client requirements.
3. Logistics & Coordination
Arrange transportation, container movements, and delivery schedules for both import and export operations.
Coordinate with internal departments (production, QC, accounts, warehouse) for dispatch planning and material readiness.
Ensure timely submission and accuracy of documents to reduce delays and demurrage/detention.
4. Regulatory Compliance & Documentation Control
Maintain proper records of all import and export documentation.
Ensure compliance with DGFT, customs, GST, FSSAI, and other applicable government regulations.
Assist in applying for export incentives such as
RODTEP, ROSCTL, Advance License, EPCG
, etc.
Maintain filing of shipping documents, bank documents, and statutory records.
5. Communication & Vendor Management
Communicate with international suppliers, clients, forwarders, CHA, and banks.
Negotiate freight rates when required.
Resolve any issues related to cargo, documentation, or delivery timelines.
Skills & Qualifications:
Graduate (preferably B.Com/BBA/Logistics/Supply Chain).
1-5 years of experience in import/export operations.
Strong knowledge of
INCOTERMS, customs procedures, LC documentation, DGFT regulations, and logistics coordination
.
Proficiency in MS Office (Word, Excel) and email drafting.
Excellent communication and follow-up skills.
Attention to detail and ability to handle time-sensitive work.
